Job Title: Administrative Assistant / Receptionist
Job Overview:
We are seeking a diligent and organized individual to join our team as an Administrative Assistant / Receptionist. The successful candidate will be responsible for providing exceptional administrative support and delivering excellent customer service to our clients and visitors. This role plays a vital part in ensuring smooth day-to-day operations within our organization.
Key Responsibilities:
- Greet and welcome visitors in a courteous and professional manner.
- Answer and direct phone calls promptly and efficiently.
- Develop spreadsheets to track various office activities and data.
- Handle Amex expense reports, ensuring accuracy and timely submission.
- Record daily trucking activities and diesel usage, inputting data into appropriate systems.
- Input payables into QuickBooks and reconcile expenses.
- Match shipping tickets to invoices and trucking tickets to invoices for accurate billing.
- Prepare regularly scheduled reports on Amex usage, diesel usage, and trucking activities.
- Maintain a filing system to organize documents and records effectively.
- Reconcile expense reports and ensure compliance with company policies and procedures.
Requirements:
- Proven experience in administrative support roles, with proficiency in handling a wide range of tasks.
- Excellent communication skills, both verbal and written.
- Strong proficiency in Microsoft Office suite, particularly Excel for spreadsheet development.
- Experience with QuickBooks or similar accounting software preferred.
- Detail-oriented with strong organizational and multitasking abilities.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Prior experience in managing expense reports and reconciliations.
- College Degree; additional qualifications in Office Administration are a plus.
