Overview
The Executive Administrative Assistant position is responsible for administration and communication support for several C-Suite leaders daily activities and ongoing projects and initiatives, ensuring the leadership team has an efficient and organized environment, while anticipating and planning for the leadership teams current and future needs. This is a full-time, salaried, exempt position.
*please note this position is hybrid, based in Coppell, TX with 3 days a week in office required.

Multiple C-Suite Leaders
Principal Duties and Responsibilities
- Manages the C-Suites contacts, Outlook and paper calendar, ensuring both are up-to-date and aligned at all times
- Schedules and coordinates direct report updates, internal and external meetings and appointments
- Maintains awareness of TCS Board of Directors commitments, calls and meetings
- Manages communication and administrative duties including written correspondence, reconciling credit card statements, collecting and sorting mail, and returning vendor and personal calls
- Creates, proofs and edits communication including PowerPoints, memos, briefs, etc.
- Coordinates with other home office departments on travel needs (flights, transportation, hotel, restaurant reservations, etc.); creates detailed itinerary for each trip
- Works with other home office departments to coordinate agenda, notes and all materials needed for meetings, calls and conferences
- Coordinates meeting room and food/beverages as needed for Executive Team Updates, Company Leadership Team Meetings, TCS Board Meetings and any other vendor/investor meetings
- Communicates and coordinates with Information Systems on any computer/device-related issues
- Renews committee memberships and stays on top of all related communication/requests for information
- Anticipates and plans for the daily, weekly and monthly needs
- Consistently arrives promptly to work the assigned schedule
- Responsible for maintaining discretion related to all confidential/sensitive company and customer information
- Performs other requested tasks and duties

Experience and Skills Required
- 5+ years C-Suite executive administrative experience
- Proficient in Office 365, Outlook, Word, Excel and PowerPoint, as well as Mac, iPhone and iPad competent
- Highly skilled in prioritization and multitasking, with flexibility to change direction as the needs of the day change
- Proficient writing skills including knowledge of grammar usage and punctuation
- Based in Dallas/Ft. Worth area
- Availability to work on evenings and weekends
- Ability to travel 10% a year, based on the business needs
- Is committed to working scheduled hours and has the flexibility to work additional hours based on changing business needs
- Knowledge of industry business and passion for following trends in the industry
- Ability to communicate clearly and effectively in a professional manner, both orally and in writing, at all levels within and outside the organization
- Ability to quickly separate the mission-critical tasks from the lower priority tasks; focuses on the most value-added projects of the day or week
- Flexible, with a positive attitude and passion for knowledge
- Strong time management and organizational skills with the ability to successfully manage multiple projects at once
- Possesses focused attention to detail while working quickly and accurately under pressure
- Makes strategic and effective decisions in the best interest of our customers and our company, taking care to objectively process information
