The primary purpose of this role is to enable effectiveness and productivity of leadership in the Legal Department and thereby the business unit, by providing varied and complex operations, administrative and logistical support. This individual operates as primary liaison with internal business partners and external customers or stakeholders, on behalf of Legal Department leadership.
What you will do
- Provides administrative support needs of Legal Department Leadership up to and including responsibility for routing or answering routine correspondence, preparing communication and other documents, developing presentation materials using graphics and graphs and other reporting duties. Must be able to transmit effective executive communication on behalf of Legal Department Leadership at the discretion of their leader and as appropriate.
- Proactively maintains and manages calendars for one or multiple Legal Department leaders. Ensures that leader(s) are prepared with supporting materials and detailed information for day to day operations and meetings.
- Acts as the contact person for internal and external customers and uses professional judgment to respond to requests; may communicate on behalf of the leaders
- Produces a wide variety of routine and complex documents, reports, presentations, and correspondence using advanced skills in Microsoft Office Suite with minimal direction from the Supervisor; creates and utilizes systems to efficiently organize and protect sensitive data and legal documents.
- Works with and manages confidential and sensitive information and exercises discretion concerning its dissemination
- Coordinates and manages special events, including scheduling dates, sending invitations, providing logistical support, catering, ordering supplies and materials
- Assists with department budget or expense reports; helps maintain compliance; may perform some analysis or make projections about department budgets; produces spreadsheet reports as requested; may assist in the development of budgets
- Collaborates with the leaders to ensures excellent onboarding experience for new employees within the scope of their business unit, up to and including arranging for an effective workspace and tools critical for their new role.
- Coordinates all aspects of the leadership travel, including flight, hotel, rental car, itinerary, etc., and serves as contact person during the trip, proactively prepares materials (reports, binders, itineraries, passports, etc) needed for a successful and productive trip
- Consistently plans ahead, manages time effectively, coordinates project information and materials for easy accessibility and delegates responsibilities when appropriate.
- Completes internet research and / or uses internal resources to find solutions to daily problems.
- Utilizes Power BI and/or similar tools to create data visualizations from available data sources.
- Conducts directed legal research using available public and private search tools, including Westlaw, and organizes results to assist attorneys with legal projects.
- Utilizes billing and payable systems to ensure timely recording and payment of invoices and utilizes reporting tools within those systems to develop reporting on legal spend.
- Actively manages documents and data for legal matters through the use of matter management systems and creates reports using query tools for those systems.
- Acts as a subject matter expert in the use of document management systems to ensure efficient document collaboration across the Department.
- Coordinates with Legal Operations to ensure consistency across the Department and compliance with internal process and policy.

Required Qualifications:
- High School or GED and 3-5 Years 5 Years Experience as an administrative assistant supporting Sr level leaders
- Experience supporting legal professionals in a firm or corporate legal department
Preferred Qualifications:
- Bachelor's Degree
- Notary License Notary Public Certification for the State of North Carolina
