MSIM Fixed Income is looking for an Administrative Assistant to join their team and support the High Yield business.
The primary responsibilities of this role include:
- Expense reports and booking travel (70%) : This involves managing expense reports and booking travel, which are the most time-consuming tasks. Besides travel, the other main expense is licensing renewals like CFA dues. Expenses are either uploaded via the Concur app or sent via email.
- Booking conference rooms for client and employee meetings (5%) : This task occurs a few times a week and involves blocking out conference rooms, creating Zoom meeting invites, and emailing reception.
- Printing FRMS Analyst Notes (5%) : This is a daily task when in the office, involving printing analyst notes created by the High Yield Department (Boston, New York, and London) and distributing them at the end of the day.
- Calendar Management (5%) : This involves providing availability for meetings, as the primary calendar management is done by the individual.
- Processing Invoices (3%) : This includes handling Tradeweb and Clear Par invoices, which are monthly and quarterly, respectively.
- Ordering catering and organizing lunch meetings (1%) : This task occurs once or twice a quarter.
- Occasionally ordering supplies and meeting materials (1%) : This is a rare task, happening once or twice a quarter.
- Distributing the Institutional Investor Group survey (1%) : This annual task involves collecting responses from the High Yield Team and sending the final results to the Institutional Investor Group.
- Handling corporate services requests (1%) : This involves occasional requests like changing water filters, which are rare due to proactive building maintenance.
- Creating and preparing shipping labels for physical documents (1%) : This is a rare task, as most documents are sent via email.
- New hire onboarding (1%) : This involves filling out new hire forms for equipment, account access, software, and assisting new hires on their first day.

Expected base pay rates for the role will be $75,000 - $90,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
