About the Role:

As a CBRE Facilities Associate, you will play a key role in supporting facilities management operations across multiple retail banking locations. Your responsibilities will include overseeing vendor relationships, managing work orders, and maintaining the team’s PTO calendar. You will coordinate with vendors to ensure they are proficient in using required software systems, while also collaborating with clients and internal facilities teams to ensure all operational needs are met efficiently and effectively.

This job is a part of the Facilities Management functional area which focuses on all aspects of the operations of a set of assets, providing support to the Property Managers regarding all repairs and investment plans.

What You’ll Do:

Manage vendor relationships and ensure compliance with service standards.
Oversee work order management and coordinate with FM teams (Technicians, Facility Managers, Building Engineers, Regional Facility Managers).
Enter vendor information into CMMS and provide training on CMMS systems.
Utilize CMMS software extensively for operational tasks.
Process invoices and maintain accurate records.
Perform administrative duties, including managing PTO calendars for teams.
Act as a client-facing representative for facilities-related inquiries.
Point of contact for escalated communications between landlord, tenants, and service providers by ensuring all procedures, policies, and reporting formats are understood, and implemented.
Allocate work orders and schedule repairs from requests.
Review data from work order reports and create and present performance and progress status reports to management.
Review all work orders, proposals, department files, and other paperwork submitted by vendors for accuracy and compliance.
Check rooms and furniture to identify needs for repairs or renovations.
Fix minor malfunctions in office equipment.
Research new services and appliances to facilitate operations.
Gather and analyze data to identify and solve complex problems that arise with little or no precedent. May recommend new techniques.
Impact own team and other teams whose work activities are closely related.
Suggest improvements to existing processes and solutions to improve the efficiency of the team.

What You’ll Need:

Must live in the state of Florida,
High School Diploma or GED with 3-4 years of job-related experience.
A comprehensive understanding of a range of processes, procedures, systems, and concepts within own job function is required.
Ability to evaluate and communicates unusual and/or complex content in a concise and logical way.
In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
Organizational skills with an advanced inquisitive mindset.
Advanced math skills. Ability to calculate advanced figures such as percentages, discounts, and markups.
