The Opportunity:
As the Business Analyst, you will play a critical role in shaping, analysing, and delivering business and digital transformation initiatives that enhance operational efficiency, improve user experience, and embed sustainable change across the organisation.
Working closely with the Change Specialist and Digital Transformation Specialist, you will lead business analysis activities across the project lifecycle — translating business needs into functional and non-functional requirements, mapping current and future state processes, assessing change impacts, and ensuring transformation programs deliver measurable value.
You will apply strong analytical capability, business acumen, and change management expertise to support process redesign, digital enablement, and automation using tools such as UiPath, Nintex, Power Platform, and Power BI. Your work will help streamline workflows, uplift digital maturity, and improve adoption of new systems and processes across Australia Defence & Security Solutions (ADSS).
As part of the Business Improvement Team, you will contribute to a culture of continuous improvement, innovation, and collaborative problem-solving, helping uplift organisational capability and engagement across the business.
This is a 12-month fixed-term, full-time position.
Responsibilities
The key responsibilities of the role will include, but is not limited to:
1. Business Analysis & Change Strategy
Lead business analysis activities to understand business needs, assess current state, and define future-state processes.
Support the development and implementation of enterprise change strategies aligned to digital transformation goals.
Partner with Change and Digital Transformation Specialists to define requirements, success measures, milestones, and value outcomes.
Conduct business process analysis, change impact assessments, and gap analyses; identify improvement opportunities and process re-engineering needs.
Integrate data insights into transformation planning to support prioritisation and evidence-based decision-making.
2. Digital Transformation Implementation
Translate business needs into well-defined requirements, user stories, process maps, and documentation.
Support the delivery of digital initiatives, including new systems, workflow automation, and process optimisation.
Work closely with technical teams to support solution design, testing, validation, and deployment.
Assist with rolling out digital tools (Nintex, Power Automate, Power Apps, UiPath) and monitor adoption, risks, and change readiness.
Contribute to continuous improvement initiatives aligned with the GS APAC Business Improvement Plan.
Provide integration and transformation support for new business acquisitions, system upgrades, and technology transitions.
3. Stakeholder Engagement & Collaboration
Build strong relationships with stakeholders across ADSS to understand needs, manage expectations, and gain alignment.
Facilitate workshops, interviews, and co-design sessions to gather requirements, validate findings, and identify pain points.
Collaborate with Communications, People & Culture, IT, and Program Teams to co-design change and engagement strategies.
Act as a trusted liaison between business users, technical teams, and leadership to ensure consistent messaging and aligned outcomes.
Foster a supportive, inclusive, and collaborative environment that strengthens digital and change capability.
4. Change Impact, Readiness & Assessment
Conduct business, people, and system impact assessments to identify risks, dependencies, and required interventions.
Analyse digital readiness, adoption needs, and workforce capability requirements.
Provide insights and recommendations to inform targeted change and training activities.
5. Communication, Learning & Support
Develop clear and engaging communication materials, change artefacts, and visual presentations using PowerPoint, Canva, or similar tools.
Translate complex technical information into user-centred, accessible language.
Support the development and delivery of training, learning, and reinforcement materials to embed new behaviours and processes.
Ensure consistent, accurate, and timely communication across all phases of transformation.
6. Culture, Collaboration & Continuous Improvement
Champion continuous improvement across business processes, systems, and ways of working.
Identify opportunities for process automation, workflow optimisation, and data-driven decision-making.
Support initiatives that strengthen digital capability, change resilience, and innovation culture.
Assist in maintaining a Change Management Community of Practice across ADSS.
7. Measurement, Insights & Reporting
Develop reporting frameworks and dashboards to measure performance, benefit realisation, and adoption rates.
Analyse performance data, stakeholder feedback, and value metrics to evaluate transformation effectiveness.
Prepare clear, concise, and insight-driven reports for stakeholders and leadership.
Qualifications, Skills and Experience
Essential:
Demonstrated experience as a Business Analyst supporting digital transformation, organisational change, or continuous improvement.
Strong analytical and problem-solving skills with the ability to interpret data, identify insights, and propose practical business solutions.
Ability to understand and analyse the impact of business and technology change, including process, people, and data implications.
Understanding of change management principles and frameworks (e.g., ADKAR); Prosci Certification beneficial.
Experience with workflow automation tools such as UiPath, Nintex, Power Automate, Power Apps, and/or Power BI.
Proven ability to facilitate workshops, gather requirements, and document processes effectively.
Excellent interpersonal and communication skills, with the ability to engage stakeholders at all organisational levels.
Proficiency in creating professional documentation, visuals, and presentations using Microsoft Office tools.
Highly organised, proactive, and adaptable to shifting priorities.
Passion for collaboration, problem-solving, and driving meaningful business improvement.
Desirable
Tertiary qualifications in business analysis, management, information technology, or process improvement.
Experience working within Defence, government, or large, complex environments.
Familiarity with Lean Six Sigma, Agile delivery frameworks, or Design Thinking methodologies.
Experience working with geographically dispersed teams or multi-site environments.
Eligibility to obtain an Australian Government Security Clearance (Baseline/NV1).
