🔹 Position Summary
The Operations Support Manager is responsible for ensuring smooth, efficient daily operations across the organization. This role provides critical support through process coordination, workflow optimization, data reporting, system management, and cross-functional communication. The Operations Support Manager serves as a central point of contact for internal teams, helping maintain organizational stability and driving continuous improvement initiatives.
Ideal candidates are detail-oriented, organized, proactive, and capable of managing multiple priorities in a fast-paced environment. This role is essential to maintaining operational excellence and supporting strategic organizational goals.

🔹 Key Responsibilities:
Operational Coordination & Workflow Support
- Coordinate daily operational activities and ensure timely task completion across departments.
- Support the intake, routing, and tracking of operational requests and tasks.
- Maintain key operating schedules, calendars, and communication channels.
- Ensure compliance with established SOPs, safety standards, and internal policies.
Process Improvement & Documentation
- Assist with developing, updating, and maintaining Standard Operating Procedures (SOPs).
- Conduct workflow and process mapping to identify inefficiencies or gaps.
- Recommend improvements to streamline operations, reduce risk, and enhance productivity.
- Document changes and communicate updates to relevant teams.
Data Management & Reporting
- Collect, organize, and analyze operational data to support decision-making.
- Prepare KPI dashboards, weekly progress updates, reports, and executive summaries.
- Maintain accurate operational records, logs, and internal databases.
Systems Administration & Tools Management
- Maintain and update internal systems, CRMs, project management tools, and databases.
- Troubleshoot system issues and coordinate escalations or support requests.
- Support user onboarding, access management, and training on internal tools.
Cross-Functional Communication & Support
- Serve as a liaison between operations and other departments.
- Support scheduling, meeting coordination, document preparation, and follow-up actions.
- Ensure consistent and accurate communication regarding operational priorities.
- Provide general administrative and logistical support as needed.
Quality Assurance & Compliance
- Assist in auditing internal documentation, data accuracy, and compliance workflows.
- Monitor adherence to processes and escalate issues requiring corrective action.
- Support risk mitigation efforts by identifying and addressing operational vulnerabilities.
Team Support & Leadership Development
- Mentor interns or junior personnel as applicable.
- Help coordinate onboarding of new team members into the operations department.
- Demonstrate leadership behaviors such as initiative, accountability, and reliability.

- Strong organizational and time-management skills.

🔹 Preferred Qualifications
- Experience in operations, administration, logistics, or workflow coordination.
- Exposure to Lean, Six Sigma, Agile, or process improvement methodologies.
- Experience with data analytics, dashboards, or KPI reporting.
- Prior leadership or supervisory experience (military or civilian).
- Bachelor’s degree in Business, Operations, Management, or related field (preferred but not required).
