OVERVIEW
We are seeking an Office Coordinator who brings order, good judgment, and dependable ownership to the center of the organization. This role sits at the intersection of office management, executive support, and cross-team service. You will report directly to the CEO and play a key role in keeping the office, people, and day-to-day operations running smoothly—without hassle, micromanagement, or hand-holding. This is not a front-desk-only role. It’s for someone who sees what needs to be done and does it well.
JOB RESPONSIBILITIES
· Serve as main greeter for the front office, answer telephone, direct calls and take messages, playing the role of traffic controller.
· Act main point of contact for anything “office-related.”
· Provide executive administrative support to the CEO and executive team.
· Maintain a polished, organized, and professional office environment at all times.
· Compile, label, scan and file records for business transactions and other activities.
· Collect, open, sort and route incoming mail.
· Prepare correspondences and prepare labels and postage for outgoing mail.
· Manage office supplies and keep supply room highly organized
· Manage key office services and vendor including but not limited to parking, janitorial, IT, repairs, and real estate.
· Support office scheduling, in office event coordination, special projects, and serve as administrative support to executives.
· Provide support across various departments.
· Interface with customers, vendors, and service providers.
EXPERIENCE/SKILLS
· Highly organized and ability to multi-task with desire to provide excellent service.
· Excellent computer skills and familiarity with MS Office, Google Apps, Salesforce, and at least 40 WPM.
· Excellent time-management and ability to prioritize efficiently.
· Excellent communication skills, both written and oral.
· Excellent attention to detail and accuracy.
· Self-motivated and a team-player.
· Exhibit a high degree of professionalism and confidentiality in handling and having access to sensitive information.
· Spanish speaker a plus
· Minimum 3 years of experience in similar professional office environment.
· High School Diploma or equivalent required (college degree a plus).
Pay: $26.00 - $28.00 per hour
Expected hours: 40.0 per week
