The Project Coordinator performs professional-level duties supporting the planning, execution, and delivery of high-profile, enterprise IT projects, as well as the ongoing operations of the Project Management Office (PMO). The project portfolio includes a wide range of IT initiatives, from small and moderate efforts to large, complex, multi-stakeholder projects. The Project Coordinator may support multiple concurrent projects, with specific responsibilities for each engagement defined by the PMO and the respective project teams. This role provides exposure to diverse aspects of the University's administrative IT environment, offering opportunities to develop both broad institutional knowledge and deeper expertise in project management practices.
DUTIES AND RESPONSIBILITIES
- Manage Enterprise IT Projects (80%)
- Manage enterprise IT and related projects for the University of Illinois System using advanced project management methodologies and competencies. This is the primary function of the role.
- Projects may include, but are not limited to, implementation of new applications, IT upgrades, application development, user experience initiatives, and business process improvements.
- Project management competencies include, but are not limited to:
- Developing project work plans, schedules, cost estimates, resource plans, and status reports
- Ensuring adherence to project quality standards through review of project deliverables
- Facilitating project team meetings and providing guidance on project management best practices, coordinating with appropriate stakeholders
- Identifying, analyzing, and responding to project risks and issues, including recommending and implementing corrective actions
- Communicating project status, progress, and outcomes to stakeholders, program leads, and leadership at defined review points
- Support the AITS Project Management Office (PMO) (17%)
- Provide support for the AITS Project Management Office (PMO), including:
- Facilitating the IT Governance process for all projects within the portfolio
- Coordinating the collection and analysis of project performance data, including performance against budget, scope, objectives, and customer satisfaction
- Promoting and facilitating organization-wide use of project and portfolio management tools, and serving as a subject matter expert for these systems
- Applying specialized project and portfolio management knowledge to support planning for individual projects and enterprise-wide initiatives
- Identifying, recommending, and implementing continuous improvements to project management processes, standards, and tools to align with industry best practices and evolving organizational needs
- Analyzing performance data and producing executive-level summary reports and custom reports aligned with organizational needs
- Performing ongoing trend analysis related to project performance, scheduling, and resource capacity management
- Providing ongoing project management training, guidance, and coaching
- Other Duties (3%)
- Perform other related duties as appropriate for a Project Coordinator role.
QUALIFICATIONS
- High school diploma or equivalent.
- Any one or any combination totaling two (2) years (24 months) from the following categories:
- College coursework which includes Information Technology (IT), IT Management, Programming, IT systems, or a closely related discipline, as measured by the following conversion table or its proportional equivalent, 30 semester hours equals one (1) year (12 months), Associate's Degree (60 semester hours) equals eighteen months (18 months), 90 semester hours equals two (2) years (24 months), Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
- Work experience in IT-related functions, such as hardware/software support, programming, network design, network engineering, IT systems integration, or closely related field.
- Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position may be required.
KNOWLEDGE SKILLS AND ABILITIES
- Strong computer skills with Microsoft Office products, particularly Excel, PowerPoint, and Word
- Strong analytical, quantitative, and problem-solving skills
- Strong organizational skills with consistent attention to detail and deadlines
- Excellent verbal, written, and listening skills, including the ability to interact effectively across the organization, especially in situations requiring instructing, persuading, negotiating, resolving conflict, and advising. Must also be comfortable speaking in public to various audiences
- Demonstrated ability to manage multiple project streams efficiently and diplomatically in a complex environment. Able to perform complex tasks, organize and prioritize multiple projects, and work under pressure to meet deadlines
- Demonstrated ability to lead, coach, and mentor others
- Effective team-oriented contributor with demonstrated facilitation skills, including the ability to facilitate cross-functional teams, manage change, and resolve conflict
- Demonstrated knowledge of project management methodologies and tools, with a continuing willingness to learn
APPOINTMENT INFORMATION
This is a 100% Full Time Civil Service Information Technology Tech Associate position. The expected start date is as soon as possible. Sponsorship for work authorization is not available for this position.
The budgeted salary range for the position is $80,000.00 - 90,000.00. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.
