The Project Intake Specialist partners with Academy stakeholders, technology teams, and PMO leadership to support projects across the full project and software development life cycle. You will lead the intake preparation process by developing BACCM Canvases, gathering high‑level requirements, and helping ensure projects are set up for seamless execution.
You’ll support or own core business analysis activities depending on project size, including elicitation, requirements documentation (epics, features, user stories), gap analysis, process mapping, training materials, test planning, QA/UAT support, release readiness, and user support documentation.
You will also document current‑state processes and systems using interviews, workshops, workflows, and analysis tools, producing deliverables such as business process maps, diagrams, data mapping, glossaries, and use cases.
This role also administers PMO systems such as the Project Portfolio Management tool and Power BI dashboards, helps coordinate statements of work and contracts, and collaborates with architects, developers, UX, QA, and cybersecurity throughout the project lifecycle.
- Lead funding requests through the intake process, including BACCM Canvas creation and high‑level requirement authoring
- Perform current‑state analysis using diagrams, workflows, use cases, and other documentation tools
- Define future state and develop epics, features, user stories, use cases, and process flows for small‑ to mid‑size projects
- Facilitate meetings to elicit, define, and analyze requirements, ensuring they are measurable and testable
- Track and manage requirements and scope throughout the project lifecycle
- Provide inputs to design, implementation, and post‑implementation planning
- Support identification and documentation of project risks, issues, and decisions
- Assist with release planning, validation, and execution
- Create training materials and facilitate training sessions
- Execute test planning, test case writing, assignment, execution, and defect management
- Help document and improve PMO internal processes and procedures
- Coordinate meetings, resources, and project activities as needed
- Administer departmental tools such as Project Web App and related dashboards

- Up to 4 years of experience supporting technology initiatives, projects, program management, or systems design
- Strong written and verbal communication skills
- Strong problem‑solving and decision‑making abilities
- Ability to manage multiple concurrent projects
- Ability to adapt and work effectively across diverse teams and situations
Desired:
- Bachelor’s degree in business, IT management, project management, or related field
- Experience producing high‑quality work in a transparent, collaborative environment
- Experience gathering and documenting business or functional requirements
- Experience performing unit testing, quality assurance, or user acceptance testing
- Ability to facilitate meetings
- Proficiency with O365 collaboration tools
Salary Range: $83,000-$86,000, depending on qualifications and experience.
