The Administrative Assistant provides critical, nearly invisible support to management, acting with a high degree of autonomy to streamline the Executive Team’s daily operations. This role is essential for driving organizational growth by managing complex workflows, anticipating leadership needs, and prioritizing high-impact projects. As a central point of coordination, the Administrative Assistant ensures that directors and executives can operate at peak efficiency, handling everything from high-level scheduling to various special projects with the utmost discretion and professionalism.
Responsibilities
- Act as the primary point of contact between directors/executives and both internal and external clients.
- Manage complex calendars, arrange multi-stakeholder meetings, and provide timely reminders to ensure leadership stays on schedule.
- Coordinate comprehensive travel arrangements and prepare necessary Visa applications for international requirements.
- Monitor office supplies and proactively research advantageous deals or new suppliers to maintain cost-effective operations.
- Produce high-quality reports, presentations, and briefs to support executive decision-making.
- Oversee financial administrative tasks, including the accurate processing of purchase orders and expense reports.
- Develop and maintain an efficient documentation and filing system to ensure data is organized and easily accessible.
- Handle incoming communications by receiving calls, taking detailed messages, and routing correspondence appropriately.
- Attend meetings to take accurate minutes and ensure all data entry is completed with high precision.
- Exercise independent judgment to prioritize a diverse daily workload and handle sensitive information with strict confidentiality.
Education
- High School degree.
- Additional qualification as a personal assistant or advanced administrative certification is considered an advantage.
Experience
- Proven experience as an Administrative Assistant, Senior-level Assistant, or in a similar secretarial position.
- Full comprehension of modern office management systems, procedures, and "office gadgets."
- Excellent knowledge of MS Office and high proficiency in English.
