We are seeking a highly organized and adaptable Executive Assistant to join our team and support multiple senior leaders on the Legal Team. This role supports the seamless execution of day to day administrative and operational needs for senior legal leadership.
The ideal candidate is someone who anticipates needs, exercises sound judgment, and proactively finds solutions while managing priorities across multiple executives. This individual remains composed when navigating competing demands, adapts to shifting priorities, and takes pride in supporting the effectiveness and success of others through accuracy, organization, and follow through.
Job Description
Responsibilities:
- Provide proactive, high‑level administrative support to multiple senior legal leaders by serving as a trusted gatekeeper, exercising sound judgment in managing calendars and priorities, and anticipating needs or potential issues to resolve them before they escalate.
- Own and manage complex executive calendars with frequent changes, ensuring alignment across stakeholders and time zones
- Coordinate and book travel in accordance with company policies and executive preferences, proactively monitoring and adjusting plans in response to changes or disruptions, often under tight timelines.
- Prepare, reconcile, and submit accurate executive expense reports, ensuring compliance, completeness, and timely submission
- Plan and execute logistics for Legal team offsites and larger group meetings, including venue coordination, agendas, materials, travel, and on‑site support
- Manage executive correspondence and information with professionalism, discretion, and sound judgment
- Handle sensitive and confidential matters with the highest level of integrity
What We’re Looking For
- 5+ years of experience in executive support, operations, project coordination, or business administration
- Proven ability to support multiple executives simultaneously while managing competing priorities
- Exceptional attention to detail with a track record of accuracy in scheduling, travel, and expense management
- Strong anticipation skills with the ability to think several steps ahead
- Highly organized, self‑directed, and motivated to drive outcomes without constant direction
- Clear, professional written and verbal communication skills
- Confidence navigating ambiguity and making informed decisions independently
- Advanced proficiency in Microsoft Office, Teams, and enterprise tools such as Workday and Concur
- Demonstrated ability to build credibility and strong working relationships with senior leaders and partners

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $ 76,500.00 - $90,000.00
