We are seeking a dedicated, highly organized Executive Assistant to support several senior-level leaders while also managing in-office responsibilities for our Boston office.
The Role
As an Executive Assistant, you will play a critical role in providing high-level administrative support to senior leaders. This position requires exceptional organizational skills, sound judgment, and the ability to manage competing priorities in a fast-paced environment. You will also serve as a key member of the Boston office team, supporting day-to-day onsite needs and requests.
What You’ll Do
- Calendar Management: Proactively manage and prioritize complex calendars for senior-level executives, including scheduling meetings, appointments, and travel.
- Communication: Act as the primary point of contact between executives and internal/external stakeholders, appropriately screening and directing inquiries.
- Meeting Coordination: Organize and coordinate meetings, conferences, and events; prepare agendas, materials, and meeting minutes as needed.
- Travel Arrangements: Coordinate domestic and international travel, including flights, accommodations, and detailed itineraries.
- Document Management: Prepare, edit, and format documents, reports, and presentations with a high level of accuracy and attention to detail.
- Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
- Project Support: Assist with projects and initiatives by providing administrative, research, and data analysis support.
- Onsite Support: Manage relationships with vendors and property management, oversee office supplies, and support general in-office operations.
What You’ll Need
- Proven experience as an Executive Assistant or in a similar role, preferably supporting senior or C-level executives
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- High level of discretion and integrity when handling confidential information
- Ability to work independently, anticipate needs, and prioritize effectively
- Proactive, adaptable, and solution-oriented mindset
- Ability to work in the office four days per week
- Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future
CBRE Investment Management carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The minimum salary for this position is $105,000 annually and the maximum salary for the position is $110,00 annually. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience. Successful candidates may also be eligible for a discretionary bonus based on CBRE’s applicable benefit program.
