Job Title: Senior Executive Assistant - EVP, Operations
Location: New Brighton, MN - onsite
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Executive Vice President(EVP) of Operations in managing the strategic and day-to-day responsibilities of the finance function. This role will be pivotal in ensuring the EVP’s time is optimized, administrative tasks are streamlined, and critical activities are handled efficiently. The ideal candidate must excel at multitasking, maintain confidentiality, and demonstrate a high level of professionalism in a fast-paced environment.
What You Will Do
- Manage the EVP’s calendar, including scheduling meetings, coordinating appointments, and resolving conflicts proactively.
- Prepare, proofread, and edit presentations, reports, an correspondence for internal and external audiences.
- Handle confidential and sensitive information with discretion and tact.
- Plan and execute logistics for meetings, including preparing agendas, booking conference rooms, and compiling relevant documentation.
- Take detailed minutes during meetings and follow through on action items as necessary.
- Arrange travel plans, including flights, accommodations, and ground transportation.
- Prepare and submit expense reports, ensuring compliance with company policies.
- Assist the EVP with special projects, including financial research, analysis, and coordination with cross-functional teams.
- Track deadlines and deliverables for key initiatives and ensure they are met on time.
- Serve as a key point of contact between the EVP and other executives, team members, and external stakeholders.
- Communicate effectively on behalf of the EVP, addressing inquiries and relaying essential information.
- May occasionally require work outside of regular office hours to support key deliverables, deadline-driven projects, or organizational needs.
- Support other administrative tasks as needed to ensure smooth operations within the Executive Assistant team.
Basic Requirements
- 8+ years of experience as an Executive Assistant with proven experience supporting C-level executives in a corporate setting.
- International or public company experience preferred.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
- Ability to interact with confidence and professionalism when communicating with senior executives, effectively conveying ideas, insights, and solutions tailored to organizational priorities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
- Ability to work independently and handle complex situations with professionalism and confidentiality.
- Experience in financial services, business administration, or a related field is a plus.
Benefits and Compensation:
This role will be based out of our New Brighton office. The pay range is $88,000 - $132,000, depending on job-related knowledge, skills, and experience. This position is eligible for annual bonus and profit sharing based on company performance in addition to other benefits that support the total well-being of you and your family.
