Maintain strict confidentiality of all information and data.

Provide proactive, high-level administrative support to the Operations Director and leadership team.

Manage complex calendars, making priority decisions to resolve conflicts and optimize leader effectiveness.

Coordinate and support leadership meetings, including Tier 4 operations meetings, tracking and documenting action items.
-
Coordinate travel arrangements and assist with expense report preparation in Concur.
-
Lead and execute employee engagement programs, including recognition initiatives and site communications.
-
Maintain and update workforce data, reporting, and organizational metrics (e.g., attrition/retention).
-
Manage visitor requests and support site access processes in alignment with security and compliance requirements.
-
Maintain organization charts, distribution lists, and SharePoint content.
-
Draft and distribute organizational communications, announcements, and recurring updates.
-
Manage office operations including supplies, mail distribution, and vendor coordination (e.g., printers, office services).
-
Coordinate conference rooms, site logistics, and workspace tools (e.g., Archibus).
-
Partner cross-functionally to coordinate inter-departmental activities and support operational needs.

Proactively identify and implement process improvements to increase efficiency and effectiveness.
-
Demonstrate a high degree of professionalism, adaptability, and sound judgment in a fast-paced environment.
Qualifications You Must Have:
-
Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience
-
4+ years of experience in administrative or operations support roles
-
Strong experience with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools
-
Experience with calendar management, meeting coordination, travel planning, and expense reporting
Qualifications We Prefer:

Experience with Concur, SAP, Ariba, or similar systems
-
Experience supporting operations, manufacturing, or fast-paced environments
-
Strong attention to detail with experience managing data and reporting (e.g., Excel-based analysis)

Self-starter with the ability to work independently and handle ambiguity

Strong organizational skills with the ability to manage multiple priorities and deadlines

Excellent written and verbal communication skills

Ability to anticipate needs, think critically, and problem-solve proactively

Ability to work effectively across teams in a matrixed organization

The salary range for this role is 53,100 USD - 100,900 USD. The salary range provided is a good faith estimate representative of all experience levels.
