Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary:
This position offers an exciting opportunity to provide comprehensive administrative and operational support to a dynamic team within a cutting-edge AI development organization. Working alongside an Executive Assistant, you will play a vital role in ensuring smooth day-to-day operations for a large team of approximately 650 employees. This role requires a proactive, detail-oriented professional who thrives in fast-paced environments and can seamlessly manage multiple priorities while maintaining exceptional organizational standards. You will be instrumental in supporting critical functions including headcount management, new hire onboarding, space coordination, and team engagement initiatives. The ideal candidate will bring strong problem-solving abilities, excellent communication skills, and the capacity to work independently while collaborating effectively across various organizational levels and departments.
Job Responsibilities:
- Manage comprehensive new hire experience from end to end, including equipment ordering, desk assignments, communication with new hires, equipment preparation for first days, and coordination with hiring managers
- Support headcount management activities, including tracking open positions, creating requisitions, and maintaining current information in headcount-related tools
- Coordinate space management for the team, including updating space maps, creating and delivering desk name tags, and addressing space needs as they arise
- Organize and execute morale events and team engagement activities to support organizational culture
- Maintain distribution lists and ensure accurate team communication channels
- Purchase equipment for new hires and equipment refreshes while tracking assets, updating custodians, cost centers, and managing equipment transfers and recycling
- Review operating budgets and expenditures, identifying potential overages and partnering with Finance to resolve discrepancies
- Serve as interim approver on team expense reports, ensuring accurate coding and compliance
- Provide calendar management support including scheduling coordination and travel arrangements
- Handle ad-hoc requests and respond to employee questions with appropriate urgency
- Support return-to-office logistics and adjust onsite presence to meet evolving business needs
- Assist with planning and execution of team events, All-Hands Meetings, and organizational gatherings
- Partner and collaborate with HR, Staffing, Finance, Facilities, and the broader administrative team
- Anticipate business needs based on understanding of organizational rhythm and ship cycles
Requirements:
- Minimum of 4 years of successful administrative experience in a fast-paced environment
- Recent administrative experience in similar organizational settings
- Demonstrated customer service experience in administrative or related capacity
- Proven track record of supporting large teams or organizations
- Experience working in technology or corporate environments
- Advanced calendar management and scheduling coordination
- Strong verbal and written communication abilities for multi-location team collaboration
- Exceptional organizational skills with keen attention to detail
- Proactive problem-solving and troubleshooting capabilities
- Cross-team collaboration and relationship building
- Ability to maintain confidentiality and exercise discretion in handling sensitive information
- Sound judgment, tact, diplomacy, integrity, and professionalism in all interactions
- Capacity to prioritize effectively while managing multiple concurrent tasks
- Flexibility and adaptability in responding to changing priorities
- Ability to work independently with minimal supervision
- Resourcefulness in dealing with ambiguity
- Proficiency in Microsoft Outlook, Excel, and Word
- Experience with Employee Central, TA Hub, HR Insights, MSS, Informa, and MS Space
- Physical ability to lift and move standard office equipment including computers and peripherals
Additional Details:
- Location: Redmond, WA (Hybrid: 3 days per week onsite)
- Duration: 2 months
- Pay Range*: $27.50 - $31 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
