Responsibilities
- Welcome and greet visitors at the front desk in a warm and professional manner
- Manage appointment setting and maintain calendars for staff and visitors
- Receive, sort, and distribute daily mail and deliveries throughout the organization
- Process checks and handle basic financial documentation
- Handle employee inquiries and provide accurate information in-person, via phone, and email
- Set up and coordinate office events, meetings, and activities
- Answer, screen, and forward incoming phone calls
- Maintain a tidy and presentable reception area
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Perform clerical duties such as filing, photocopying, and faxing
- Coordinate with facility management for any repairs or maintenance issues
- Order office supplies and maintain inventory of stock
Qualifications
- Experience with Microsoft Office Suite required
- High school diploma or equivalent; additional certification in Office Management is a plus
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- Hands-on experience with office equipment (e.g., fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills in both English and Spanish
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
