Position Overview
We are seeking a highly organized, detail-oriented, and execution-driven Transaction Coordinator (TC) to support our Acquisitions Team.
This role is responsible for driving deals from contract to close by ensuring:
- All due diligence items are completed
- All stakeholders are aligned
- All deadlines are met
- All risks are identified and escalated early
You will act as the central command hub of each deal, coordinating across acquisitions, legal, finance, operations, and third-party vendors.
This is not an admin role — this is a deal execution role.
Core Responsibilities
Deal Execution Ownership (Contract → Closing)
- Take full ownership of deals upon PSA execution
- Build and manage deal timelines (critical path)
- Ensure all milestones are achieved:
- Due diligence deadlines
- Financing deadlines
- Closing date
- Drive deals forward — do not wait for direction
The TC ensures deals close on time and without surprises
Due Diligence Management (Checklist-Driven Execution)
- Own and manage the Due Diligence Checklist (end-to-end)
- Ensure 100% completion of all required items before closing
- Coordinate and track:
- Financial review (rent roll, T12, utilities, taxes)Property inspections and reports
- Seller deliverablesLegal and compliance documents
The TC is accountable for zero missed diligence items
Vendor & Third-Party Coordination
- Engage and manage all third-party vendors:
- Appraisal
- Environmental (Phase I)
- SurveyProperty inspections
- Track delivery timelines and follow up proactively
- Ensure quality and completeness of reports
Legal & Contract Coordination
- Coordinate with internal and external legal teams on:
- LOIs
- PSAs
- Amendments
- Closing documentsTrack document execution and revisions
- Ensure contractual obligations are met on time
Transaction coordinators ensure all documents are accurate and completed before closing
Cross-Functional Alignment
Act as the communication hub across all deal stakeholders:
- Acquisitions (VP, Analysts)
- Legal counsel
- Finance & AccountingOperations team
- Brokers and sellers
A TC serves as the central point of communication ensuring all parties stay aligned and deadlines are met
Systems, Data & Documentation Management
Maintain clean, accurate, and real-time deal data across:
- Monday.com – Due diligence tracking
- HubSpot – Deal pipeline and notes
- Dropbox / Drive – File organization
- Ensure:
- Proper naming conventions
- Version control
- Complete deal documentationTCs are responsible for maintaining accurate transaction records and documentationRisk Identification & Escalation
- Identify issues early:
- Missing documents
- Delayed reports
- Financial inconsistencies
- Legal risks
- Escalate to VP of Acquisitions proactively
- Provide solutions and next steps
The TC prevents deals from failing due to execution breakdowns
Closing Coordination
- Coordinate all closing activities:
- Final documentationSettlement statements
- Wire transfers
- Confirm:
- All DD completed
- All approvals secured
- Ensure smooth and on-time closing
Post-Closing Handoff
- Transition deal to:
- Operations
- Asset Management
- Deliver:
- Complete deal file
- Organized documentation
- Key data and insights
Key Performance Indicators (KPIs)
Using Sunrise Rating Scale:
1 = <50%
2 = 51–74%
3 = 75–89%
4 = 90–99%
5 = 100%+

Qualifications
Required
- 2–5+ years experience in:
- Real estate transactions, acquisitions, or coordination
- OR high-level project management
- Strong understanding of:
- Real estate transaction lifecycle
- Due diligence processes
- Exceptional organizational and follow-up skills
Preferred
- Experience in:
- Commercial real estate or MHP
- Prior CRE experience and training at one of the national firms (JLL, M&M, Cushman, CBRE, Colliers, etc) would be an added benefit.
- Investment firms / private equity
- Familiarity with:
- Monday.com, HubSpot, Dropbox
- Legal and closing workflows
