This Specialist role provides daily operational support for retirement plan administration, ensuring accurate and timely processing in compliance with ERISA regulations and Schwab policies. The position partners closely with internal teams and external service providers, exercising judgment, initiative, and strong customer focus to resolve issues and improve service quality.
What you’ll do:
- Process and support daily retirement plan administration activities, including trading, fund changes, portfolio rebalances, price corrections, stock and earnings allocations.
- Analyze assigned plans to ensure accuracy, timeliness, and adherence to ERISA rules and Schwab policies.
- Make independent decisions within established guidelines, escalating issues as appropriate.
- Build strong relationships with internal and external partners to research and resolve complex inquiries.
- Monitor workflow to ensure daily work is completed on time and escalate capacity or risk issues to management.
- Provide operational expertise and guidance by identifying solutions to process issues and recurring problems.
- Resolve escalated client or servicing partner issues.
- Contribute to departmental projects, including implementation of new systems or process improvements.
- Identify opportunities to improve service quality, productivity, and expense management.
- Support team effectiveness through knowledge sharing and routine constructive feedback.
What you have
Required Qualifications:
- Bachelor’s degree or 4–7 years of equivalent, relevant work experience.
- Strong background in ERISA, 401(k), and profit-sharing plans.
- Working knowledge of Microsoft Excel, Word, and Access.
- At least 3 years of experience in brokerage, retirement services, trust operations, or a related field.
Preferred Qualifications:
- Basic understanding of the pension and securities industries.
- Strong written and verbal communication skills.
- Proven organizational skills with the ability to manage multiple priorities and deadlines.
- Ability to work effectively in a collaborative, team-oriented environment.
- Experience with retirement systems and platforms (e.g., SRI, SEI).
- Strong attention to detail with the ability to process complex data accurately and efficiently.
- Solid understanding of compliance and legal requirements impacting retirement plan operations.
- Analytical mindset with strong prioritization and problem-solving skills.
