Administrative Assistant (Contract)

Summary

The ideal candidate will provide high-level administrative support to leadership, serving as a critical operational backbone for a team that operates on an international scale. From managing intricate executive schedules and coordinating international travel to tracking budgets and facilitating cross-organizational communication, this position offers a rich and varied workload that goes well beyond traditional administrative support.
Job Responsibilities
- Manage complex calendars and scheduling for multiple levels of leadership, adapting to shifting priorities and time zone considerations
- Coordinate domestic and international travel arrangements, including itineraries, logistics, and expense processing
- Handle ad hoc requests on behalf of leadership, including gathering information, preparing updates, and following up with stakeholders
- Support budget tracking and financial operations, including monitoring expenditures and assisting with department financial reporting
- Coordinate meetings, events, and cross-organizational collaboration efforts across multiple teams and time zones
- Manage procurement of goods and services, including office supplies, equipment, and vendor relationships
- Serve as a primary point of contact for the department, managing communications and facilitating information flow
- Provide general office and operational support, ensuring smooth day-to-day functioning of the team
- Complete special projects and assignments as directed by leadership
Requirements
- Minimum 2 years of experience in executive or administrative support roles with a focus on calendar and operations management
- Minimum 2 years of experience in cross-functional operations and stakeholder coordination
- Minimum 2 years of experience supporting budget and financial management activities
- Prior experience supporting sales teams or working within an advertising or media organization is strongly preferred
- Experience providing international travel support is a plus
- Strong executive calendar and schedule management capabilities, with the ability to handle high complexity and volume
- Experience supporting sales organizations and familiarity with advertising or media environments preferred
- Demonstrated ability to coordinate international travel logistics efficiently and accurately
- Proficiency in budget tracking and basic financial management
- Strong cross-functional collaboration and stakeholder coordination skills
- Excellent written and verbal communication skills with a professional and polished demeanor
- High degree of discretion, confidentiality, and sound judgment
- Ability to manage multiple priorities simultaneously in a fast-paced, remote work environment
- Program or project management experience is a plus

- Location: Remote
- Duration: 13 months
- Pay Range*: $23 - $23 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
