Executive Administrative Assistant (Contract)

Summary
Are you an organized, detail-oriented professional with a passion for keeping teams running smoothly? This role offers an exciting opportunity to support a dynamic supply chain team responsible for delivering networking equipment to data centers and managing the onboarding of new hardware products and programs. In this position, you will serve as a critical operational backbone for the team, managing communications, enabling the rhythm of business, and ensuring key initiatives stay on track. From coordinating high-visibility team engagements and all-hands meetings to maintaining org charts and driving action items to completion, your contributions will directly support the efficiency and effectiveness of a fast-paced, high-impact team. This is a hybrid role requiring three days onsite per week, with a Monday through Friday schedule of 40 hours and a strong potential for extension up to 18 months.
Job Responsibilities
- Assist with business operations of the team, including calendaring support, tracking action items, and maintaining organizational charts
- Enable rhythm of business processes and team communications
- Schedule and facilitate team meetings, including preparing agendas and coordinating logistics
- Coordinate all-hands events and other team engagements
- Review and manage incoming memos, submissions, and reports to determine significance and plan distribution
- Support ad hoc project needs as they arise across the team
- Supervise general office duties such as ordering supplies and maintaining records management systems
- Review and process invoices, reports, and other key documents
- Coordinate travel arrangements and meeting logistics for team members
Requirements
- 5 to 8 or more years of experience in a business operations or executive administrative support role
- Previous experience supporting executives in a professional environment
- Demonstrated experience pulling and managing reports and tracking operational data
- Prior experience in a business operations capacity within a large technology or enterprise organization is strongly preferred
- Strong verbal and written communication skills with the ability to manage multiple priorities simultaneously
- Exceptional organizational skills with the ability to maintain confidentiality of sensitive information
- Demonstrated ability to work independently and manage time effectively
- Strong analytical skills, including experience pulling reports and tracking data such as travel, expenses, and team morale
- Project management capabilities with the ability to drive agendas and move initiatives forward
- Strong interpersonal and customer service skills
- Proven ability to coordinate events and large team engagements such as all-hands meetings
- Proficiency in Microsoft Office tools including Word, Excel, and PowerPoint

- Pay Range*: $45.50 - $51.50 per hour
- Weekly Schedule: 40 hours
