Program Coordinator (Contract)

Summary
This is a dynamic and high-impact operational role embedded within a global affairs organization, supporting government relations, cybersecurity partnerships, and global policy operations at a strategic level. Job Responsibilities
- Manage end-to-end purchase order and statement of work processes, including vendor onboarding, approvals, tracking, and reconciliation
- Coordinate with finance and procurement teams to ensure policy compliance across all financial activities
- Track budgets, spend, and forecasts across multiple projects and vendors, ensuring timely invoicing, accruals, cost tracking, and reporting
- Provide financial reporting support for leadership, including budget status updates, variance analysis, and reallocation recommendations
- Drive day-to-day project management of AI-focused initiatives, including Copilot and AI Accelerator programs and agent portfolio workstreams
- Maintain integrated project plans, milestones, risks, and dependencies across multiple concurrent workstreams
- Surface risks and blockers proactively and ensure follow-through on key actions and deliverables
- Support intake, prioritization, and tracking of projects within the AI and innovation pipeline
- Develop and maintain reporting dashboards and executive-ready status updates for leadership
- Act as a central coordination point across headquarters, regional teams, and external vendors
- Structure and facilitate key operational rhythms including status meetings, working groups, and check-ins
- Maintain a single source of truth for plans, trackers, and key materials, including SharePoint-based information infrastructure
- Support governance processes including documentation, approvals, and reporting standards
- Coordinate work across multiple external vendors in consulting, communications, events, and AI partnerships
- Manage delivery quality, timelines, and outputs across supplier engagements
- Act as liaison between internal stakeholders and vendor teams throughout the engagement lifecycle
- Build and maintain dashboards and trackers covering project status, financial data, and resource allocation
- Drive continuous improvement in financial workflows, project tracking, and reporting processes
- Support implementation of new tools including AI-enabled tracking, dashboards, and automation solutions
Requirements
- 8 to 10 or more years of experience in project or program management, operations, or program management office roles
- 5 or more years of experience supporting finance and procurement processes including purchase orders, statements of work, and vendor management
- Demonstrated experience managing complex, multi-stakeholder programs or initiatives with clear governance and tracking
- Experience working in or supporting senior leadership environments with a high degree of professionalism
- Experience supporting AI, innovation, or digital transformation workstreams is strongly preferred
- Bachelor's degree in Business Administration, Operations Management, Finance, or a related field
- Strong operational and execution mindset with the ability to drive initiatives forward independently
- Deep experience with financial administration, procurement, and budget tracking processes
- Excellent project management discipline including planning, tracking, and risk management
- Strong stakeholder management capabilities across regions, functions, and seniority levels
- High attention to detail with the ability to operate at pace and navigate ambiguity
- Data-driven and analytical approach with comfort building and maintaining dashboards
- Clear and concise written and verbal communication skills
- Familiarity with productivity and collaboration tools including spreadsheet applications, data visualization platforms, team communication tools, document management systems, and project planning applications
- Experience with innovation, AI, or transformation programs is a strong plus
- Experience with internal communications or content creation such as newsletters or video production is a plus

- Location: New York, NY (Onsite)
- Duration: 12 months
- Pay Range*: $34.50 - $39 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
