This is your chance to be a part of an in-house Technology team that's creating consumer-facing, cutting-edge technologies revolutionizing the hospitality industry around the world! As an Administrative Assistant to SVP
,you will bring your technical skills to a hospitality company with an award-winning culture. On the Technology team reporting to the Chief Information Officer, you will support projects including calendar management, domestic and international travel itineraries, meeting and event planning, and departmental logistics.
What You'll Do During a Typical Day
- Schedule and handle all meetings, interviews, events, and other similar activities for the executive and performing general office support.
- Help prepare scheduled reports to include submitting and reconciling expense reports.
- Coordinate multiple project calendars to ensure delivery.
- Prepare business letters, agendas, and presentations aligned with brand standards.
- Implement and monitor programs as directed by management and see the programs through to completion.
How You'll Collaborate With Others
- Oversee team communications and the coordination of large team meetings.
- Partner with internal departments resolving daily administrative challenges.
- Periodically support team VPs – short-term coverage and potentially long-term assignments.
Deliverables You'll Take Ownership Of
- Manage inventory of assets and supplies for Team Members and support onboarding activities for new hires.
- Assist with all aspects of administrative management, directory maintenance, logistics, equipment, and storage.
What It Takes to Make the Stay
You Have These Minimum Qualifications
- Five (5) years of professional administrative experience
- Five (5) years of experience supporting a C-suite executive or senior enterprise leader in a large corporate environment.
- Experience with virtual collaboration tools such as Microsoft Teams and Cisco WebEx
- Experience drafting clear, professional business communications (e.g., emails, meeting notes, presentations) for senior leaders and partners.
- Experience proofing and editing written communications for content and grammar.
- Collaborative teammate who builds relationships and earns trust through collaboration, responsiveness, and delivery on assigned responsibilities.
- This is a hybrid role and would require to be near our McLean office location
- Travel up to 25%
It Would Be Useful If You Have
- BA/BS Bachelor's Degree
- Seven (7) + years of professional administrative experience
- Advanced proficiency in Outlook, PowerPoint, and Excel
- Experience supporting a global Technology team
- Experience with Concur: travel and expense system
