KBR, Inc. in support of the Volpe Center seeks an Administrative Assistant to provide comprehensive onsite, full-time administrative support. The selected candidate will be responsible for complex calendar and schedule management, as well as the preparation of professional documentation and correspondence using the full Microsoft Office suite. This position requires an individual to have resided in the United States for 3 out of the last 5 years and must be able to obtain Public Trust Clearance through the Department of Transportation (DOT).
Essential Job Functions
- Manage and maintain complex calendars for leadership and team members; schedule and coordinate meetings, appointments, and conference calls.
- Serve as a primary point of contact for administrative inquiries, ensuring professional communication with internal stakeholders and external clients.
- Prepare, edit, and format a wide variety of administrative documentation, including reports, presentations, and correspondence, adhering to organizational and Federal style standards.
- Utilize the full Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and Google Workspace to support daily operational needs and document creation.
- Facilitate office operations, including travel coordination, supply inventory management, and space reservation.
- Track action items, project deadlines, and support team documentation to ensure efficient project workflow.
- Maintain accurate records and office files in accordance with established policies.
Basic Qualifications
- Associate or bachelor’s degree in business administration or related field preferred.
- 2+ years of directly related administrative or office support experience.
- Proficiency with the full suite of Microsoft Office tools and Google Workspace.
- Ability to work onsite in a professional office environment.
- Strong organizational skills and the ability to manage time effectively to meet deadlines.
- Understanding of customer mission and organizational strategic goals.

- Strong interpersonal skills to interact effectively with a diverse range of stakeholders, including sponsors, customers, and project staff.
- Superior writing and verbal communication skills.
- Ability to work independently and as part of a team, demonstrating flexibility in a fast-paced environment.
- Experience with office collaborative tools, such as Microsoft SharePoint, Teams, Google Docs.
- Proactive approach to problem-solving and task management.
- Commitment to always maintaining confidentiality and professionalism.
Basic Compensation:
$21.64 - $28.85 hourly
This pay range applies to Cambridge, MA location only.
The offered rate will be based on contract affordability and the selected candidate’s working location, knowledge, skills, abilities and/or experience, and in consideration of internal parity.
