Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary
This is an exciting opportunity to join a dynamic team as a key contributor to business operations, providing essential in-person administrative and operational support across a wide range of functions. The ideal candidate will serve as a central point of coordination for day-to-day office activities, vendor management, new hire onboarding setup, and high-impact event planning and execution. This role demands a highly organized, proactive professional who thrives in a fast-paced environment and can manage multiple priorities with discretion and efficiency. The successful candidate will play a meaningful role in supporting a large-scale supplier summit, contributing to both the planning and on-site execution of this significant initiative.
Job Responsibilities
- Provide in-person administrative support for daily team operations and key business initiatives
- Coordinate event logistics, including planning, vendor coordination, budgeting, and on-site support for events and offsites
- Manage vendor relationships and support open vendor roles as needed
- Oversee new hire setup, including ordering and arranging equipment and workspace preparation
- Supervise general office duties such as ordering supplies and maintaining records management systems
- Review and process invoices, reports, memos, and other corporate documents
- Read and analyze incoming communications to determine significance and coordinate appropriate distribution
- Prepare agendas and make logistical arrangements for meetings, including committee and team gatherings
- Provide calendar coordination support as a backup resource
- Perform basic bookkeeping and support financial tracking as needed
Requirements
- 5 to 7 years of experience in calendar coordination, Microsoft 365 tools, and event and operations support required
- Prior experience working in a Microsoft environment highly preferred, with 3 to 5 or more years strongly desired
- Experience providing administrative or executive-level support required
- Background in vendor management and new hire onboarding coordination preferred
- Demonstrated history of stable, sustained employment with consistent contributions in prior roles
- Strong verbal and written communication skills with the ability to interact professionally across all levels of an organization
- Expert ability to work independently, manage time effectively, and prioritize competing demands
- Expert ability to maintain confidentiality and keep information organized and secure
- Expert proficiency in event planning, logistics coordination, and budgeting
- Strong interpersonal and customer service skills with a collaborative, team-oriented approach
- Demonstrated ability to manage vendor relationships and coordinate operational workflows
- Proficiency with Microsoft 365 tools including Word, Excel, and PowerPoint
- Strong leadership and mentoring capabilities with the ability to provide constructive feedback and support team members
Additional Details
- Location: Redmond, WA (Onsite)
- Duration: 12 months
- Pay Range*: $32.50 - $37 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
