Key Responsibilities:
Contract Preparation & Documentation
- Assist in drafting, reviewing, and finalizing contracts for vendor services, facility management, procurement, leasing, and construction projects.
- Ensure all contracts comply with company policies, financial regulations, and legal standards.
- Maintain a centralized contract repository and update records for tracking purposes.
Contract Execution & Compliance Management
- Coordinate the contract approval process, ensuring all necessary signatures and approvals are obtained.
- Track contract terms, obligations, key milestones, and expiration dates to ensure compliance and avoid risks.
- Work closely with legal, procurement, and finance teams to ensure contract adherence.
Vendor & Stakeholder Coordination
- Serve as the point of contact for vendors, service providers, and internal departments regarding contract-related queries.
- Assist in monitoring vendor performance, deliverables, and service-level agreements (SLAs).
- Support procurement teams in resolving contract disputes and negotiation processes.
Renewals, Amendments & Terminations
- Track upcoming contract renewals and proactively initiate renegotiation discussions if needed.
- Process contract modifications, amendments, and extensions, ensuring all changes are documented.
- Manage the contract closeout process, verifying that all obligations have been fulfilled before termination.
Risk Assessment & Issue Resolution
- Identify potential contract risks, such as non-performance, financial penalties, and compliance issues.
- Work with legal teams to resolve disputes and mitigate risks before escalation.
- Ensure contract records are audit-ready and support internal and external compliance reviews.
Reporting & Process Improvement
- Generate reports on contract performance, cost savings, risk assessments, and vendor compliance.
- Identify opportunities to streamline contract management processes and enhance operational efficiency.
- Support the implementation of contract lifecycle management (CLM) tools and systems.
Qualifications & Requirements:
- Education: Bachelor’s degree is preferred and specialized in Business Administration, Law, Finance, Procurement, or a related field.
- Experience: Minimum 3-5 years of experience in contract administration, procurement, or legal compliance, preferably in banking, finance, or corporate real estate.
- Certifications (Preferred but not required):
- Certified Commercial Contracts Manager (CCCM)
- Certified Professional Contract Manager (CPCM)
- ISO 37301 Compliance Management Certification
- Skills & Abilities:
- Knowledge of contract law, procurement policies, and risk management.
- Proficiency in Microsoft Office, contract databases, and ERP/CLM systems.
- Strong attention to detail, organizational, and analytical skills.
- Ability to multi-task, prioritize deadlines, and work cross-functionally.
- Excellent communication and negotiation skills for interacting with vendors and stakeholders.
Preferred Qualifications:
- Experience with contracts for banking branches, commercial office facilities, and leasing agreements.
- Knowledge of ESG (Environmental, Social, and Governance) compliance in contracts.
- Familiarity with international procurement policies and financial regulations.
