We are looking for an Executive Assistant to act as a liaison for key senior personnel, such as our global client lead and US Head of Brand Digital, and others in the practice group. The ideal candidate will be an organized, adaptable, and proactive professional who can effectively manage multiple tasks, maintain confidentiality, and facilitate smooth communication. As the Executive Assistant, you will play a crucial role in enhancing the efficiency and effectiveness of our executive team.
- Maintain calendars, meetings, appointments, and travel arrangements, travel itinerary, and portfolio for executives
- Prepare and edit documents, presentations, and reports, ensuring accuracy and professionalism
- Coordinate in house and off-site meetings including conference room set up, beverages, food, and travel for visitors
- Handle confidential and sensitive information with discretion and professionalism
- Prioritize and manage incoming requests, including email communication, and redirect them as necessary
- Collaborate with various departments to ensure effective communication and coordination of projects and initiatives
- Track and manage expense reports and invoices
- Handle time entry for executives
- Attend staff meetings as needed
- Perform ad hoc tasks and special projects as assigned by executives
- At least five years prior administrative experience
- Be well organized with excellent written, verbal, and interpersonal communication skills
- Possess strong time management skills
- Have the ability to work efficiently, be solutions oriented, proactive, and anticipate needs
- Excellent written and verbal communication skills
- Proficiency in using office software and tools, including Microsoft Office Suite
- High level of attention to detail and accuracy in work
- Discretion and professionalism in handling confidential information
- Adaptability and ability to work well under pressure
- Problem-solving and decision-making abilities
$59,000 - $92,000 a year
An employee’s pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, travel requirements, revenue-based metrics, any contractual agreements, and business or organizational needs. The range listed is just one component of DJEH’s total compensation package for employees. Other rewards may include annual bonuses, a Paid Time Off policy, and region-specific benefits.
