Program Summary
The National Science Foundation (NSF) manages the United States Antarctic Program (USAP). The USAP supports all U.S. scientific research and related logistics in Antarctica and aboard USAP vessels that operate along the continental margin and in the Southern Ocean. Science within the Antarctic research portfolio is chosen and funded by NSF and other Federal agencies, including NASA, NOAA, and the Department of Energy. The purpose of the Antarctic Science and Engineering Support Contract (ASESC) is to enable that science.
All participants are responsible for maintaining a safe workplace and ensuring that safety is the highest priority. This includes compliance with all ASESC environmental health & safety, and quality assurance requirements.
Job Summary
The Documentation Transition Lead is responsible for leading the planning, coordination, execution, and oversight of documentation activities associated with the Antarctic Science and Engineering Support Contract (ASESC). This role ensures the successful collection, validation, organization, transfer, and preservation of critical operational, technical, contractual, and institutional knowledge required to support uninterrupted operations.
*This is a remote position based in the US.
Roles and Responsibilities
- Lead the development and execution of documentation transition strategies, plans, schedules, and deliverables
- Serve as the primary coordinator for documentation transition activities across operational, technical, logistics, engineering, facilities, science support, and administrative functions
- Oversee the collection, organization, validation, and transfer of transition-related documentation, records, procedures, manuals, reports, and knowledge assets
- Establish and maintain documentation inventories, repositories, trackers, and status reporting mechanisms
- Support the migration, organization, and archival of electronic and physical records as required
- Coordinate with functional leads and subject matter experts to identify critical documentation, institutional knowledge, and transition requirements
- Ensure documentation is complete, accurate, current, appropriately version controlled, and maintained in accordance with established document management practices
- Identify documentation gaps, inconsistencies, or risks and develop corrective action plans to address deficiencies
- Lead quality assurance reviews of transition documentation to ensure compliance with contractual, organizational, and operational requirements
- Facilitate knowledge transfer activities, including documentation reviews, workshops, briefings, and handoff sessions
Basic Qualifications
- U.S. citizenship and the ability to pass a National Agency Check with Inquiries (NACI) background investigation
- High school diploma or equivalent
- Typically 7+ years of experience in documentation management, records management, project coordination, knowledge management, or related operational functions
- Experience leading document control, records management, transition, or project support activities
- Demonstrated experience coordinating multiple stakeholders, priorities, and deliverables
- Strong organizational, analytical, and project coordination skills
- Strong attention to detail and commitment to documentation quality and accuracy
- Ability to manage complex workflows, deadlines, and competing priorities in a dynamic environment
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and SharePoint
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Information Management, Knowledge Management, or a related field
- Experience supporting government contracts, contract transitions, mobilizations, or large operational programs
- Experience leading documentation, records management, configuration management, or knowledge transfer initiatives
