We are seeking a highly organized, detail-oriented Development Assistant to support our team of real estate developers. This position will play an important role in keeping multiple residential development projects organized and moving forward by coordinating administrative details, tracking deadlines, maintaining records, and following up with municipalities, utility providers, vendors, HOAs, and other partners.
The ideal candidate is someone who enjoys keeping a lot of moving pieces organized, takes initiative, follows through, and isn't afraid to pick up the phone or dig into an issue to get an answer. Experience in real estate development is helpful but not required—we're looking for someone who is organized, resourceful, and eager to learn.
Responsibilities
- Provide day-to-day administrative support to a team of real estate developers.
- Track and coordinate utility infrastructure, including electric, gas, water, sewer, internet/telecommunications, and related service providers.
- Assist with plats, addressing, lot information, and development records, coordinating with cities, counties, engineers, and other parties as needed.
- Coordinate the installation, maintenance, and tracking of neighborhood mailboxes.
- Help manage lot and common-area maintenance, including mowing, landscaping, cleanup, and other ongoing needs.
- Assist with HOA matters, including organization, documentation, vendor coordination, and ongoing administrative needs.
- Maintain and organize covenants, restrictions, amendments, and other development documents.
- Coordinate and track neighborhood monuments and signage, including installation, repairs, and maintenance.
- Maintain records and assist with renewals and documentation related to property and development insurance.
- Track property taxes, special assessments, and related deadlines across development properties.
- Coordinate matters related to agricultural land and crops on development property, including communication with farmers or other parties when applicable.
- Maintain organized electronic files, spreadsheets, calendars, contact information, and project documentation.
- Track open items, deadlines, and follow-ups to ensure tasks don't fall through the cracks.
- Communicate with municipalities, utility companies, engineers, contractors, vendors, title companies, HOAs, and other outside partners.
- Assist the development team with additional administrative and project-related tasks as needed.
What We're Looking For
This role is a great fit for someone who is extremely organized and comfortable managing many unrelated tasks at the same time. Development projects can have hundreds of small details, and priorities can change quickly.
We're looking for someone who:
- Has strong organizational and follow-through skills.
- Pays close attention to details and deadlines.
- Can independently track multiple projects and outstanding items.
- Takes initiative rather than waiting to be reminded of the next step.
- Is comfortable researching an issue and figuring out who to contact to get it resolved.
- Communicates professionally and confidently by phone and email.
- Is comfortable working with spreadsheets, documents, databases, and other technology.
- Can learn new terminology, processes, and software quickly.
- Works well with a team while also being able to manage responsibilities independently.
- Is flexible and willing to jump in wherever needed.
Experience
Previous experience in real estate development, construction, property management, municipal government, utilities, title/real estate, or administrative project coordination would be beneficial but is not required.
More important than having direct development experience is the ability to stay organized, learn quickly, communicate effectively, and take ownership of getting things done.
