Senior IT Project Coordinator
The Senior IT Project Coordinator is responsible for providing support to the Project/Program Manager in coordinating activities of project team and project deliverables while maintaining, tracking and storing key project documentation. Will be responsible for running small projects that are a subset to larger more complex projects. Must be familiar with project management processes, project management tools, project scope and objectives, as well as the role and function of each team member, in order to provide effective support.
Project Administration
- Create & Maintain project documentation by gathering relevant information from various sources.
- Creates and maintain project database, team contacts / distribution lists.
- Ensures version control for documentation and approvals.
- Updates standard project reports.
- Tracks status of requests, invoices and approvals.
- Schedules Project Training for team members and operations and support teams.
- Performs contractor procurement, manages onboarding and offboarding.
- Updates project documentation as needed.
Project Execution
Responsible for managing a phase or segment of a larger project - or
- - Responsible for managing a small, less complex project.
- Responsible for on-time delivery and execution of assigned projects and initiatives to deliver business value.
- Responsible for securing resources to meet project demands.
- Understands the project budget, timeline and key dependencies, escalates issues as needed.
- Communicates accurate and timely project accomplishments and overall project health to stakeholders via required measures and methods (such as status reports, metrics, checkpoints, portfolio reports, and scorecards).
- Creates and maintains project schedules, manages team and deliverables for assigned project.
- Creates and administers communication plans as needed.
- Submits and tracks all requests for procurement.
- Opens all Change Control requests for project via Service Desk.
- Runs Changepoint reports (demand forecasts, costs to date, etc.).
- Adds/deletes Changepoint tasks/team as requested.
- Performs Request Management and tracking.
- Manages and tracks implementation checklists.
- Maintains software / hardware inventory.
- Creates RASIC deliverable for project.
- Tracks procurement of software / hardware.
- Collects and verifies all gate deliverables to ensure readiness.
- Develops Production Certification Checklist readiness.
- Assists in managing project end to end Communications.
- Provides assistance on Project Management tasks / deliverables as directed.
Qualifications
- Bachelor's Degree from an accredited University in Communication, Business or other relevant area OR High School/GED with 6 years Progressive Relevant Experience
- 2 years of Experience working in a team setting to deliver projects
- 2 years of Experience gathering requirements and preparing documentation
- 2 years of Experience analyzing data and providing recommendations
Category C - Days in the office will either be designated days or will vary week to week from 2-5 days
8:00am - 5:00pm Monday - Friday. This position offers a hybrid work model that includes onsite and remote days as determined by the manager.
