Administrative & Accounting Assistant - Netherlands

We are seeking a detail-oriented and proactive Administrative & Accounting Assistant to support our finance and office operations. This role combines accounting tasks with general office management and personal assistant duties, ensuring smooth day-to-day functioning of both financial processes and administrative support.
Key Responsibilities:
Accounting & Finance Support
- General Ledger Maintenance: Oversees day-to-day operations of the general ledger, ensuring proper documentation and reconciliations of accounts.
- Prepares and posts journal entries in the accounting system
- Processes, codes and verifies invoices for accuracy and compliance
- Works closely with the Accounting Manager/Managing Director in the Netherlands on the financial reporting.
- Tax Compliance ensures timely and accurate filing of all VAT returns.
- Works with deadlines for internal reporting /controls provided by the lager organisation (standardised deadlines within KBR), follows up with relevant departments (reconciliations, invoicing etc.) for supporting documentation.
- Accounts Payable/Receivable Oversight: Supervise the accounts payable and receivable processes, ensuring accurate tracking of expenses.
- Works with service centre in Chennai on the timely processing of the Accounts Payable/Receivable. Reports issues to Dutch Accounting Manager.
- Works with Procurement on internal procedures for creating and processing of Purchase Requisitions for European Compliance related POs.
- Works closely with the Accounting Manager/Managing Director in the Netherlands to verify accuracy.
Office Management
- Coordinate and oversee general office procurement and supplies.
- Coordinate with vendors and service providers for office needs.
- Maintain a clean and organized office environment.
Administrative & Personal Assistant Duties
- Provide administrative support to management, including scheduling meetings, preparing board minutes and handling correspondence.
- Assist with travel arrangements and expense reporting.
- Support ad hoc tasks and projects as needed.
Qualifications:
- Proven experience in accounting support or administrative roles.
- Familiarity with accounting software and invoice processing.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and Microsoft Dynamics
Preferred Skills:
Experience with ERP systems or purchase requisition platforms.
Basic understanding of compliance and financial documentation.
Ability to work independently and handle confidential information with discretion.
