The Workplace & Facilities Coordinator is responsible for supporting and optimizing daily office operations and facilities management for our client. This role ensures a safe, efficient, and engaging workplace experience for employees and visitors while supporting the Facilities Manager and Workplace Experience team in delivering operational excellence.
This position oversees work order systems, vendor coordination, preventative maintenance, workplace services, pantry operations, and small facilities improvement projects. The ideal candidate is highly organized, service-oriented, detail-driven, and thrives in a fast-paced environment.
Check out some of what you'll do:
- Work Order & Maintenance Management: Oversee daily work order review and management using CMMS platforms (Corrigo, Jira), ensuring timely resolution of reactive maintenance, scheduling preventative and recurring maintenance, and supervising technicians and third-party service providers.
- Facilities Operations & Documentation: Execute and document preventative maintenance processes, maintain comprehensive databases of building operations, equipment, furniture, and procedures, and conduct regular site walks and facility audits while supporting emergency response and after-hours projects.
- Budget & Financial Management: Process and manage facilities invoices, track expenditures, assist with quarterly budgeting and forecasting, review vendor service reports, validate completed work, and approve invoices to ensure fiscal responsibility.
- Workplace Services & Office Operations: Support daily workplace services including meeting and event setup, catering coordination, delivery processing, desk assignments, seating management, and employee/vendor onboarding while serving as a front-facing presence for employees, visitors, and guests.
- Pantry & Amenity Operations: Oversee comprehensive pantry management including daily operations, inventory monitoring, stocking schedules, replenishment ordering, food safety compliance, regular audits, and coordination of equipment maintenance (coffee machines, refrigerators, dishwashers).
- Vendor & Stakeholder Relations: Develop and maintain relationships with building management, engineers, and service providers while providing direction on procedures and system usage, serving as liaison between facilities, workplace, and client teams to minimize operational disruption.
- Project Support & Coordination: Assist with small to medium facilities refurbishment and improvement projects, coordinate deep cleaning and preventative maintenance of kitchen equipment, and partner with culinary, janitorial, and facilities vendors for seamless operations.
- Systems Administration & Reporting: Serve as Corrigo platform administrator ensuring proper configuration, data integrity, and reporting accuracy while supporting monthly, quarterly, and annual reporting production and maintaining office supply inventory and base amenities.
A successful candidate will have the following:
Required
- Relevant Experience: 2+ years of experience in facilities operations, workplace coordination, or hospitality with proven track record of managing vendors and service delivery to ensure seamless operational outcomes.
- Technical Proficiency: Experience using facilities ticketing and CMMS platforms (such as Corrigo) and proficiency in Google Workspace for documentation, communication, and project coordination.
- Operational Excellence & Leadership: Strong communication, organization, and multitasking skills with excellent attention to detail, operational ownership, and vendor leadership accountability. Ability to work independently, prioritize effectively, and maintain calm under pressure with a solutions-oriented approach.
- Service & Customer Focus: Service-driven mindset with strong customer service and hospitality orientation, ensuring positive experiences for employees, visitors, and stakeholders while maintaining a professional and welcoming presence.
Pay $34.62-39.43 hourly
Schedule: Monday - Friday 8 a.m. - 5 p.m. with flexibility needed for events
Location: Washington DC

Estimated compensation for this position:
72,000.00 – 82,000.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
