For our team in Krakow we are seeking HR Services Specialist/ Specjalista/ Specjalistka ds. Obsługi Pracowników on a Fixed Term contract for 12 months.
The selected candidate will be employed by Critical Mission Solutions Sp. z o.o., part of Amentum.
Responsibilities
Actioning Right to Work checks for all new UK hires, ensuring valid checks are completed prior to start date.
Ownership of monitoring new hire tracker, taking pro-active action where necessary to ensure compliance with Company process and UK Home Office statutory guidelines.
Working closely with Onboarding Coordinator to ensure start date changes are captured.
Escalating any potential issues of non-compliance to the Regional lead at the earliest opportunity.
Engaging with Regional Team on complex cases and following escalation procedures where required.
Navigating internal and external systems, liaising with our external Identity Service Provider (IDSP) where necessary on cases.
Scheduling and conducting video calls with new joiners to carry out ID Verification.
Maintaining recordkeeping by managing data updates on the HR Database (Workday) and ensuring Right to Work documentation is filed appropriately within employee records.
Case Management: Daily monitoring of cases and tasks on ServiceNow, ensuring cases are dealt with promptly, followed up or triaged where necessary.
Continuous monitoring of the Right to Work tracker, Process, Training Guides and supporting documentation to ensure they remain up to date.
Ensuring any issues or opportunities for improvement are raised proactively.
Proactively monitoring and coordinating follow up checks for Employee’s on temporary visa’s in line with UK Statutory requirements. Actively contributing to developing a robust process to ensure full compliance with regulations and accurate records.
Providing back up support to global and local pre-boarding processes where required.
Possesses strong interpersonal skills to successfully build productive relationships at all levels
Convey a professional, knowledgeable, helpful and confidential approach
Requirements
Excellent verbal and written communication skills, including strong proficiency in English.
Detail oriented and skilled in monitoring volume data while maintaining data integrity.
Ability to multi-task and manage competing priorities and a diverse workload, while achieving results in a fast-paced, deadline-driven environment
Ability to identify issues, analyse possible solutions and independently resolve problems with medium complexity
Confidence to work under own initiative as well as part of a team
Strong organizational skills, excellent diary and time management skills
Experience/readiness to learn utilizing Outlook, Excel and other MS Office products
Ability to handle confidential issues with discretion
Experience in HR employee data administration or customer service will be an asset
Like fast-paced work environment and working with multiple customers.
Minimum 1 year of experience in a similar role, but appropriate work experience will be an asset
