Role Definition:
Provides administrative support and coordination activities for a VP.
What will you do:
- Answer and manage telephone calls, take messages, and respond to routine inquiries.
- Maintain vacation schedules and a master calendar tracking staff availability and whereabouts.
- Keep master copies of organizational policies and procedures up to date.
- Prepare, type, and distribute memos, meeting minutes, presentations, and other materials for the team.
- Coordinate domestic and international travel arrangements, including payment support, expense processing, and corporate card reconciliation.
- Schedule meetings and provide comprehensive calendar management support.
- Coordinate and manage logistics for meetings and events.
- Facilitate medical reimbursement processes, budget tracking, and record management.
- Support budget control activities and manage gifts when requested.
- Assist with internal team communications as needed.
- Maintain and organize calendars, including meetings, events, birthdays, and holidays.
- Handle sensitive information with a high level of confidentiality and discretion.

Basic requirements:
- Bachelor’s degree
- Pre-Advanced English
- Proficiency in O365 tools
- Proven experience using Concur for travel bookings
- Previous experience working with travel agencies, including coordination of domestic and international travel arrangements.
