Job Title: Executive Assistant, Office of the CEO
Location: New Brighton, MN - onsite
We are seeking a highly organized and proactive Executive Assistant (EA) to join a dynamic team of EAs dedicated to supporting the C-suite team. As part of this collaborative support team, the EA will play a functional role in ensuring the CEO and leadership teams day-to-day operations run seamlessly by managing schedules, sharing information, and aligning with other executive admins. This position requires a high level of team collaboration with broad alignment on shared goals, bringing exceptional organizational skills, adaptability, discretion, culture driven leadership, while thriving in a fast-paced environment with shifting priorities.
What You Will Do
- Work closely with the Executive Assistant I and Chief of Staff to collectively support daily operational needs, leveraging teamwork to ensure seamless coverage and efficiency in the Office of the CEO.
- Support administrative tasks as needed to ensure smooth operations within the Executive Assistant team.
- Maintain and optimize the CEO's complex calendar, ensuring meetings, appointments, and travel align with strategic priorities.
- Anticipate conflicts and proactively resolve scheduling issues in coordination with EA teammates.
- Collaborate with EA teammates to plan and execute company events, executive retreats, and leadership engagements.
- Serve as a liaison for scheduling with the CEO, handling inquiries with professionalism and tact.
- Organize complex travel arrangements for the CEO, including flights, accommodations, and itineraries.
- Manage private corporate aircraft schedule and communications of itineraries.
- Ensure travel plans are coordinated efficiently within the EA team, avoiding overlapping duties or gaps.
- Assist in managing deadlines that require input from CoS, collaborating with internal team members, across segments. Keep the CoS informed of progress, prioritizing urgent tasks across multiple initiatives.
- Maintain accurate records, confidential files, and meeting notes for the CEO/CoS, ensuring collaborative access for EA teammates when necessary.
- Handle sensitive information with the utmost integrity, maintaining confidentiality and professionalism at all times.
Basic Requirements
- 5+ years of experience as an Executive Assistant with proven experience supporting C-level executives in a corporate setting.
- International or public company experience preferred.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
- Ability to collaborate in a team environment with confidence and professionalism.
- Ability to communicate effectively with teammates, conveying ideas, insights, and providing solution based results.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
- Ability to work independently and handle complex situations with professionalism and confidentiality.
- Experience in financial services, business administration, or a related field is a plus.
Benefits and Compensation:
This role will be based out of our New Brighton office. The pay range is $73,000- $110,000, depending on job-related knowledge, skills, and experience. This position is eligible for annual bonus and profit sharing based on company performance in addition to other benefits that support the total well-being of you and your family.
