Job Duties and Responsibilities:
- Perform all work safely and with the utmost concern for the safety of self and other employees.
- Perform all work in compliance with environmental permits and regulations.
- May be required to work overtime or varying hours.
- Be at work when scheduled and maintain a good attendance record.
- Work in close proximity to and or in a demilitarization facility.
- Type and transcribe correspondence, memoranda, and reports (often of a technical nature), editing all material for spelling, punctuation, grammar and sentence structure.
- Serve as the procedure coordinator for the project.
- Process paperwork to include but not limited to interim changes, munitions accountability, and log keeping.
- Attend Plant Management staff meeting, take notes, prepare minutes, and distribute to all attendees.
- Establish and maintain confidentiality on all matters related to Plant Management staffing, personnel evaluations, promotions, demotions, disciplinary actions, financial records and files, much of which may be of a confidential nature.
- Organize, file and maintain department records.
- Maintains compliance records.
- Maintain the work orders for the project.
- Archive documents and electronic records and submit historical record packages.
- Duties involve movement, containerization, storage, identification, and record keeping of data packages.
- Answer and place telephone calls involving internal and external contacts in a pleasant, polite manner, advising managers of messages and handling phone inquiries on own initiative.
- Receive and screen incoming mail for subject matter.
- Organize appointments, prepare for and arrange meetings, maintain meetings and appointments calendar and keep management informed of schedules and commitments in a timely manner.
- Communicate effectively, both orally and in writing, to all levels of personnel within the company as well as with the client and outside agencies.
- Perform data compilations as needed.
- Input plant data into plant computer databases. Correlate data to provide reports.
- Prepare slide presentations as needed.
- Input requisitions for Plant Management staff.
- Carry out special projects as directed by management.
- Responsible for ensuring and verifying the data on the Daily Operations Report (DOR).
- Distribute daily DOR, accountability, and compliance documents.
- Services as the Project Technical Writer
- Serve as the central point of contact for Plant Management specific administrative plans and procedures.
Required Qualifications:
- High school diploma or equivalent education required.
- 5 or more years professional secretarial experience.
- Experience in computer applications necessary i.e. Microsoft Office(Outlook, Word, Excel, PowerPoint)
- Must be computer literate in common software applications and able to operate general office equipment.
- Must be a U.S. Citizen or naturalized citizen able to obtain and maintain site access.
- Must be 18 years of age or older.
- Must be willing to work overtime, varying hours and/or rotating shifts.
- Must be willing and able to work in an industrial environment that is in close proximity to a demilitarization facility.
- Must have excellent communications skills.
- Ability to prioritize multiple tasks and perform work accurately with attention to detail.
- Demonstrated experience in analysis, compilation, and presentation of data.
- Strong organizational skills with the ability to coordinate and prioritize projects.
- Knowledge of office practices and procedures.
- Organizational skills to include filing and record keeping both electronically and hard copy.
- Demonstrated ability to handle multiple assignments and maintain accuracy along with attention to detail while moving between tasks as schedule and management dictates.
- Display ability to apply techniques and procedures critical in carrying out a wide variety of related clerical and administrative tasks for management.
- Work well under pressure to meet priority deadlines required to accomplish objectives. This may involve occasional overtime to complete tasks.
- Highly focused and organized with the ability to handle multiple projects within short deadlines in a fast-paced atmosphere that requires initiative, flexibility and minimum supervision.
- Able to communicate and interface with all levels of employees, managers and corporate management and the client in a professional and confidential manner.
Desired Qualifications:
- Procurement/purchasing experience.
- Advanced business school/secretarial training.
- Technical writing skills and experience.
Licenses/Certifications:
Must possess and maintain a valid motor vehicle driver's license.
Compensation Details:
$33.18 hourly
