Job Description
The Fleet Administrator is responsible for providing comprehensive administrative support for the Fleet leadership team and support ongoing initiatives under Fleet Operations.
This is a project/limited term position, unless otherwise amended or terminated as deliverables within this project are completed.
Job Duties
- Tracks fuel and mileage for production fleet vehicles and analyzes data to monitor efficiency of gas/mileage for ongoing production needs/requests.
- Coordinates and schedules repairs for fleet vehicles as assigned by Fleet Manager.
- Assists Fleet Manager in supporting vendor registration process, managing vendor relations, including but not limited to onboarding new vendors, tracking invoices and payment delivery, etc.
- Assists Fleet Manager in creating and maintaining a partnership with Finance so accounts payable and accounts receivables are processed efficiently and accurately.
- Uploads and Monitors Xytech daily for Fleet manager to run PBI report on a weekly basis.
- Coordinates with Lead drivers to schedule and assign fleet drivers and vehicles based on production needs, which could include last minute changes in a 24/7 production environment.
- Supports both production units and delegates responsibilities to lead drivers as appropriate based on needs.
- Provides support to drivers and lead drivers, actively listens to their concerns, and escalates any issues to the Fleet Manager as needed.
- Tracks driver timesheets and escalates concern to Fleet Manager.
- Coordinates safety and ensure compliance throughout Fleet team.
- Adheres to all federal and state driving laws, regulations, and procedures.
- Assists Fleet Manager in coordinating rentals and black car service needs and reports usage to production, as assigned.
- Coordinates black car services as requested for high profile celebrities.
- Trains drivers assigned to black car service on expectations and etiquette when dealing with high profile celebrities to ensure high level customer satisfaction.
- Delegates duties as appropriate for Fleet personnel including Drivers and black car service Drivers.
- Ensures all work is done under the technical guidelines and operations procedures of Telemundo Enterprises' infrastructure and adheres to EHS/OSHA regulations and procedures.
- Follows policies, applicable laws, and regulations to protect his/her own health and safety as well as that of other workers, the public, and the environment.
- Presents ideas that support EHS goals and policies to your business or EHS leader.
- Raises concerns about possible violations of EHS policies to your manager, business and EHS Leader.
- Uses company assigned vehicle to visit external basecamp sites and/or assists in transporting vehicles for maintenance as needed.
- Works under the direct supervision of the Fleet Manager and is responsible for completing any other tasks as assigned by manager or supervisors as needed.
Qualifications
Basic Requirements:
- Minimum 2 years of experience in an administrative/support role
- Must be able to perform physical activities required of this position which includes, but is not limited to, climbing, lifting, balancing stooping, and handling of materials.
- Must be able to perform job at locations in and outside work environment with varying weather conditions
- Fluency in English & Spanish (both written & verbal)
- Must possess a valid Florida driver’s license and must have a clean driving record
Desired Characteristics:
- Candidates with a valid Florida CDL driver’s license (Type A or B) and clean driving record preferred
- Exceptional communication, time management, analytical and organizational skills
- Self-starter who exhibits ownership on assigned tasks and who will push for solutions that solve immediate problems while building towards long-term goals
- Ability to multitask and work in a fast paced, dead-line driven environment
- Accustomed to working in a team and collaborating with all levels within the organization

Additional Requirements:
- Must be willing to work in Miami, Florida
- Willingness to travel and work overtime, and on weekends with short notice (if applicable)
- Must have a valid driver’s license (if applicable)
- Must be “on call” 24 hours a day / 7 days a week (if applicable)
- This position is required to be performed full-time from an NBCUniversal-designated worksite.
