Program Summary
The Marine Corps Prepositioning Program (MCPP) is based in Jacksonville, Florida. We provide maintenance and logistic services to the U.S. Marine Corps (USMC) in support of this program. For over 35 years we have planned, coordinated, and executed the maintenance and logistic services for ground combat vehicles and support equipment for USMC Expeditionary Forces.
Job Summary
As an Administrative Assistant you will perform a wide variety of administrative and clerical tasks in support of operations on the MCPP Program. You will provide technical assistance, guidance, or training to lower-level clerical employees and assist higher level secretarial/clerical employees.
Responsible for organizing, establishing and maintaining a complete and accurate office filing system of records, including employee records, timecards, daily attendance logs, correspondence, reports, etc.
Prepare routine office forms and reports, (e.g., overtime authorizations, payroll adjustment notices, travel orders, expense reports).
Screen telephone calls, visitors, and incoming mail; responds to inquiries which require knowledge of office procedures or collection of information from files or other offices.
Determine which requests should be handled by the supervisor, appropriate staff member, or other offices.
Coordinate administrative activities between functional offices and keeps manager’s direct reports aware and informed of pertinent information needed for day-to-day operations.
Schedule tentative appointments without prior clearance.
Arrange for conferences and meetings and assembles established background materials as directed.
Attend meetings, take appropriate minutes, and report on proceedings.
Review correspondence, memoranda, and reports prepared by others for the supervisor’s signature to ensure completeness and accuracy.
Assures that proper clearances have been obtained when necessary.
Perform stenographic and typing work.
Proofread and edit work for correct spelling, grammar, punctuation, etc.
Use standard office equipment such as personal computer, Xeroxing machine, facsimile machine, collator/sorter, etc.
Complies with all MPF ISO 9002 policies and procedures.
Perform other duties as assigned.
Basic Qualifications
Must be able to pass a U.S. Government background investigation and obtain a Secret Clearance. Due to this, you must be a U.S. Citizen to be eligible for this position.
High School Diploma or Equivalent
10 years secretarial or related administrative experience
Ability to work independent, receiving a minimum of detailed supervision, guidance and/or instruction.
Ability to use word processing equipment and other standard office equipment General knowledge of grammar, punctuation & spelling
Ability to type 50 wpm
Ability to use reference guides & equipment manuals
Working knowledge of Company policies & procedures
Working knowledge of technical terminology in assigned area of responsibility
Working knowledge of basic software applications
Ability to comply with all established methods, quality standards & time schedules applicable to this position
