The Marketing Operations Coordinator plays a key role in supporting the operational effectiveness and strategic engagement efforts of the Military Affairs team. Reporting to the Director, Marketing Operations and Field Enablement, this position provides administrative, logistical, and operational support to enable the successful execution of Military Affairs programs, events, and partnerships that strengthen First Command's relationships within the military community.
In close collaboration with the Military Affairs team and the Meeting and Events Department, this role coordinates travel, event logistics, stakeholder communications, and Military Advisory Board activities, while supporting engagement tracking, post-event reporting, and data management processes that inform decision-making and enhance relationship development efforts.
Working closely with Military Affairs leadership, internal partners, and external stakeholders, the coordinator helps ensure consistent execution, operational efficiency, and a high-quality experience across all Military Affairs initiatives.
What will the employee do in this role?
- Provides comprehensive administrative and operational support to the Military Affairs team, anticipating needs and coordinating across internal and external stakeholders to enable efficient execution of strategic initiatives.
- Manages complex calendars, scheduling priorities, and travel logistics for Military Affairs staff and leadership, ensuring alignment with corporate policies, operational priorities, and high-impact engagement opportunities.
- Leads coordination of travel, lodging, and end-to-end logistics for Military Affairs events, conferences, and key stakeholder engagements, supporting executive visibility and relationship-building efforts that contribute to business growth.
- Coordinates with internal teams and external vendors to support event delivery, including planning, on-site logistics, and post-event follow-up, ensuring a high-quality experience that strengthens brand presence and stakeholder engagement.
- Develops and maintains standardized processes, tools, and documentation to improve consistency, efficiency, and operational continuity, enabling scalable support of expanding Military Affairs initiatives.
- Processes and tracks invoices, corporate card expenditures, reimbursements, and budget activity, serving as a point of contact for reconciliation and financial inquiries.
- Supports, in collaboration with the Marketing Data team, the collection, consolidation, and maintenance of post-engagement data, including participation metrics, relationship leads, and key outcomes, contributing to insights that inform business development and growth strategy.
- Coordinates with stakeholders to ensure timely and accurate submission of post-event reports and engagement data, while supporting the development of After-Action Reports (AARs) and leadership reporting through the consolidation of key outcomes, insights, and effectiveness metrics.
- Supports Military Affairs partnership and program activities, including development of briefing materials, stakeholder coordination, and participation in key engagements that enhance relationships and expand reach in priority markets.
Skills & Qualifications
Education
- High school diploma required
- Bachelor’s degree in Business, Communications, Operations, or a related field preferred (or equivalent combination of education and relevant work experience supporting executive operations, event coordination, or program management)
Work Experience
- Minimum 5+ years of experience in administrative, operational, or program coordination roles in a professional environment (required)
- Minimum 3+ years supporting senior leaders or executives, preferably in roles involving complex scheduling, travel coordination, and stakeholder engagement (strongly preferred)
- Prior experience supporting events, conferences, or multi-stakeholder programs strongly preferred

- Proven organizational skills with exceptional attention to detail and accuracy in coordinating complex schedules, events, and travel.
- Ability to exercise sound judgment, discretion, and confidentiality in support of senior leadership and sensitive engagements.
- Strong problem-solving skills with the ability to anticipate needs, identify issues, and proactively drive resolution.
- Experience supporting large-scale meetings, events, or programs involving multiple stakeholders and vendors.
- Ability to collect, organize, and maintain data with a high degree of accuracy to support reporting and decision-making.
- High level of collaboration and professionalism when working with internal teams and external organizations.
- Proficiency in Microsoft 365 (Outlook, Excel, PowerPoint, Word, Teams, SharePoint) to support operations, reporting, and communications.
- Experience coordinating virtual meetings or events using platforms such as MS Teams or Zoom.
- Ability to operate independently with minimal supervision while maintaining alignment with team priorities and objectives.
- Willingness and ability to travel up to 10% in support of events and organizational priorities.
