HVAC Projects Coordinator
POSITION SUMMARY
The HVAC Projects Coordinator serves as the operations liaison between management, service providers and customers. Works with Project Manager to schedule technicians to perform project work. Coordinates with customers and subcontractors to meet all contractual requirements.
ESSENTIONAL DUTIES AND RESPONSIBILITIES
- Works under general supervision following defined policies and procedures.
- Provides exceptional customer service to internal and external customers by establishing and maintaining effective communication and working relationships.
- Consults with management to address questions or issues that arise.
- Reviews, codes, and timely submits weekly payroll for hourly technicians to ensure employees are paid properly.
- Ensures technicians have job specific scope to complete work in timely manner.
- Coordinates equipment, subcontractors, and materials required according to job scope requirements.
- Monitors technician and equipment location and utilization to coordinate and schedule to achieve optimal efficiency. Ensures timely and efficient movement of resources.
- Works closely with management to ensure jobs are staffed with the appropriately skilled technicians.
- Complies with all safety, security, compliance, and quality standards established by the Company, clients, and regulatory authorities. Advises management about work issues such as accidents, weather conditions, and other hazards.
- Follows-up daily to ensure appropriate documentation of work performed by technicians and subcontractors.
- Performs Audit Process for all completed project related Service Orders daily.
- Responsible for compiling KPI statistics and reporting on work progress.
- Assists in securing documentation for inclusion in the reporting and invoicing to customer.
- Additional duties and responsibilities as assigned.
- Supports the performance of the branch operations.
- Assists in scheduling technicians using the CMMS system to the appropriate work locations according to job specifications.
- Utilizes appropriate resources to support both technical and operational needs.
MINIMUM JOB REQUIREMENTS
The HVAC Projects Coordinator should possess the following skills, characteristics, and abilities:
- High School Diploma or equivalent.
- Experience working with CMMS Systems a plus.
- Customer Service experience.
- One year of similar experience.
- Experience in the HVAC / Controls / Mechanical service industry a plus.
- Strong computer skills with proficiency in common office applications such as MS Word, Excel, Outlook, and general software navigation.
- Strong Organizational skills and attention to detail
- Excellent Verbal and Written Communication skills
- Proven ability to multi-task.
- Proven ability to work effectively in a team environment
