The Facility Coordinator supports day-to-day facilities operations within a multi-site office portfolio under an Integrated Facilities Management (IFM) contract. This role acts as the primary administrative and coordination hub between occupants, service providers, building management, and internal IFM team, ensuring efficient service delivery, compliance, and a high-quality workplace experience in a fast-paced NYC office environment.
Key Responsibilities
Facilities Operations & Coordination
- Serve as the primary point of contact for facilities service requests, coordinating work orders across hard and soft services.
- Triage, assign, track, and close work orders using a Computerized Maintenance Management System (CMMS).
- Coordinate planned and reactive maintenance activities with technicians, vendors, and building management.
- Support move/add/change (MAC) activities including furniture moves, space reconfigurations, and workstation setups.
- Monitor service delivery against SLAs and KPIs, escalating issues as needed.
Vendor & Contractor Management
- Coordinate access, scheduling, and oversight for third-party vendors and subcontractors.
- Verify completion of work and ensure documentation (service reports, close-out photos, permits) is submitted.
- Assist with vendor onboarding requirements, including COIs, safety documentation, and building compliance.
Client & Occupant Support
- Provide professional, customer-focused support to office occupants and client representatives.
- Communicate service updates, outages, and planned work effectively to stakeholders.
- Support workplace experience initiatives and continuous improvement efforts.
Administrative & Reporting Support
- Maintain accurate records for work orders, asset data, maintenance logs, and compliance documentation.
- Assist with monthly reporting, metrics tracking, and service reviews.
- Support budget tracking, invoice review, and purchase order processing as required by the IFM contract.
Compliance, Safety & Standards
- Support compliance with local NYC codes, building rules, and client policies.
- Assist with safety programs, inspections, and corrective action tracking.
- Ensure adherence to IFM procedures, SOPs, and change management processes.
Other duties as assigned by Manager or Supervisor.
Required Qualifications
- 2+ years of experience in facilities coordination, property management, or workplace operations (office environment preferred).
- Experience working within an IFM, corporate real estate, or outsourced facilities model.
- Proficiency with CMMS systems and Microsoft Office (Outlook, Excel, Word).
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
Preferred Requirements
- Customer-service mindset with a professional demeanor.
- Familiarity with NYC office building operations and vendor coordination.
- Ability to work independently while supporting a broader IFM team.
- Basic understanding of building systems (HVAC, electrical, plumbing) sufficient to route and coordinate work.
- Experience supporting SLA/KPI-driven contracts.
- Comfortable working across multiple office locations.

- Occasional flexibility required for early mornings, evenings, or weekend coordination during critical activities.
Compensation Details:
$21.46
