Administrative Assistant (Contract)

Summary
This position offers an exceptional opportunity to provide high-level administrative support to three directors within a dynamic enablement and operations organization dedicated to creating and publishing learning content for global audiences. The role demands a highly organized professional who excels at managing complex calendars, coordinating seamlessly across multiple leadership schedules, and maintaining exceptional responsiveness in a fast-paced environment. Working primarily remotely with occasional onsite requirements, you will serve as a critical liaison between directors, executives, external stakeholders, and team members while ensuring smooth daily operations. This position requires someone who can anticipate needs, resolve scheduling conflicts diplomatically, and maintain the highest standards of confidentiality and professionalism while supporting leaders who are deeply committed to their team's success and development.
Job Responsibilities
- Manage three director calendars with meticulous attention to accuracy, timeliness, conflict resolution, and alignment to leadership priorities and commitments
- Plan and coordinate domestic travel itineraries and provide timely, accurate reconciliation of expense reports
- Provide coordination and logistical support for onsite and offsite meetings and events including townhalls, morale events, team training sessions, and leadership offsites
- Maintain organization employee data and manage distribution and security group ownership
- Deliver team support including space management, office moves, new hire setup and onboarding, and procurement of equipment and supplies
- Coordinate and support the executive business administrator with team meetings, rhythm of business activities, and morale events
- Provide coverage of leadership calendars and team rhythm of business when the executive business administrator is out of office
- Maintain and update internal tools including distribution lists, SharePoint sites, and other team communication platforms
- Ensure compliance with administrative operations policies and procedures while handling highly sensitive and confidential information
- Respond to email and communication platform messages within 24 business hours while maintaining professional communication standards
- Complete special projects as assigned and support organizational initiatives
Requirements
- Minimum 5 years of experience as a business administrator, administrative assistant, or executive assistant
- Minimum 5 years of experience managing complex calendars for multiple leaders
- Minimum 5 years of experience processing travel arrangements and expense submissions
- Minimum 3 years of experience providing team support including distribution list management and document ownership
- Associate's or Bachelor's degree in Business, Finance, Marketing, Human Resources, Communications or equivalent experience preferred
- Expert-level proficiency in calendar management using scheduling software with ability to manage multiple complex calendars simultaneously
- Advanced written and verbal communication skills with ability to compose correspondence on behalf of senior leadership
- Strong organizational and interpersonal skills with proven ability to work effectively under pressure
- Exceptional attention to detail and accuracy in all administrative tasks
- Ability to prioritize competing demands, complete projects on time, and demonstrate initiative
- Proven capability to work independently with minimal supervision and think critically to solve problems
- Cultural awareness and experience working effectively with global teams
- Proficiency with productivity software including word processing, email, presentation, spreadsheet, and collaboration tools
- Knowledge of expense management, travel booking, procurement, and internal administrative systems
- Discretion and professional approach to handling confidential information
Additional Details
- Location: Redmond, WA (Onsite)
- Duration: 4 months
- Pay Range*: $30 - $34 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
