Executive Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary
This position provides high-level administrative support to senior leaders within a dynamic sales organization serving public sector industries. The role requires a proactive and highly organized professional who can manage complex, evolving priorities across multiple time zones while maintaining discretion and professionalism. Acting as a critical liaison between executives and internal and external stakeholders, this individual will coordinate calendars, travel, expenses, and communications with minimal supervision. The position demands exceptional judgment, the ability to work independently in ambiguous situations, and strong ownership of tasks from initiation through completion. Job Responsibilities
- Manage complex executive calendars across multiple time zones, proactively adjusting schedules to accommodate changing priorities and commitments
- Coordinate comprehensive travel arrangements including airfare, hotel accommodations, ground transportation, and related logistics for senior leaders
- Process and submit expense reimbursements accurately and in a timely manner
- Prepare and distribute agendas, materials, and documentation for committee meetings, board meetings, and other executive gatherings
- Draft, edit, and finalize correspondence, reports, memos, presentations, and other business documents
- Review and analyze incoming communications to determine significance and appropriate routing or response
- Maintain organized filing systems for corporate documents, records, and reports ensuring confidentiality and easy retrieval
- Perform general office duties including supply ordering, basic bookkeeping, and records management
- Provide backup executive support coverage for other administrative team members during absences
- Handle ad hoc administrative tasks and special projects including PowerPoint updates and Excel data review
Requirements
- Minimum 5-7 years of experience in fast-paced administrative roles
- Minimum 5-7 years of experience with executive-level calendar management and complex scheduling
- Minimum 5-7 years of experience with travel and expense management for senior leaders
- Experience supporting multiple executives simultaneously highly preferred
- Proven track record working in dynamic, fast-paced environments
- Advanced proficiency in Microsoft 365 suite including Outlook, Teams, Word, Excel, and PowerPoint
- Exceptional verbal and written communication skills with ability to represent executives professionally
- Strong organizational and time management abilities with capacity to prioritize competing demands
- Excellent interpersonal and customer service skills for interacting with internal and external stakeholders
- Ability to work independently with minimal supervision while maintaining proactive approach
- Demonstrated capability to handle confidential and sensitive information with discretion
- Multi-tasking proficiency to manage simultaneous projects and responsibilities effectively
- Problem-solving skills and comfort working in ambiguous situations
- Attention to detail and accuracy in all work products
Additional Details
- Location: Redmond, WA (Hybrid: 3 days/week Onsite)
- Duration: 4 months
- Pay Range*: $39 - $44 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
