Executive Administrative Assistant (Contract)

Summary
We are seeking a highly organized and detail-oriented administrative professional to serve as a cornerstone of support for a high-impact team. In this role, you will provide comprehensive administrative support to two dynamic managers while also contributing to the broader administrative team. This position demands a proactive, process-driven individual who thrives in a fast-paced environment, exercises sound judgment and discretion, and takes pride in delivering seamless, high-quality support across travel coordination, expense management, calendar oversight, and team communications. Job Responsibilities
- Own end-to-end travel arrangements for two managers, ensuring full compliance with travel and expense policies
- Prepare, submit, and track expense reports, proactively resolving issues and ensuring timely approvals
- Serve as the primary resource for travel policy guidance, corporate card usage, and reimbursement processes
- Manage complex calendars across multiple priorities, anticipating scheduling needs, resolving conflicts, and optimizing leaders' time
- Monitor and respond to email and team communication requests, triaging and routing information appropriately
- Perform general office duties including ordering supplies, maintaining records management systems, and performing basic bookkeeping work
- Prepare invoices, reports, memos, letters, financial statements, and other documents
- File and retrieve corporate documents, records, and reports
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
- Prepare agendas and make arrangements for committee, board, and other meetings
- Collaborate with internal and external stakeholders to deliver seamless event experiences
- Provide backup support to the local executive assistant and broader administrative team
- Build strong relationships with executive-level and administrative staff, fostering a culture of collaboration and trust
- Exercise sound judgment, tact, diplomacy, integrity, confidentiality, and professionalism in all communications and interactions
Requirements
- 5 to 7 years of administrative support experience required
- Minimum of 18 months of tenure in a relevant administrative role required
- Demonstrated experience supporting administrative functions with a specific focus on calendar management required
- Prior experience providing administrative support to leadership or executives strongly preferred
- Bachelor's degree preferred, or equivalent experience in administrative or business support functions
- Strong verbal and written communication skills with the ability to interact professionally at all levels of the organization
- Exceptional calendar management skills with demonstrated ability to manage complex scheduling across multiple priorities
- Proven ability to work independently, manage time effectively, and drive tasks to closure with minimal direction
- Ability to keep information organized and strictly confidential
- Process-driven mindset with extreme attention to detail and organizational discipline
- Ability to deal with ambiguity, make independent decisions, and remain proactive in a dynamic environment
- Capable of managing multiple projects simultaneously, actively tracking pending items, and reprioritizing based on shifting business needs
- Strong multi-tasking, customer service, and interpersonal skills
- Basic mentoring skills to provide support and constructive performance feedback to peers
- Familiarity with Office 365 tools including Outlook, Word, Excel, and PowerPoint
Additional Details
- Location: Redmond, WA (Hybrid: 3 days a week)
- Duration: 18 months
- Pay Range*: $30.50 - $35 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
