Role Overview
We’re building something exciting in Kraków — a new Integrated Delivery Services team, and we are seeking an experienced Project Controls Specialist/ Specjalista/ Specjalistka ds. Kontroli Projektów.
The selected candidate will be employed by Critical Mission Services Sp. z o.o., part of Amentum.
About the Role
The Project Controls Specialist plays an important role in supporting Project Managers and the wider Project Services team in delivering projects effectively. The role focuses on cost control, project reporting, forecasting, and documentation support, ensuring that project information is accurate, timely, and aligned with internal processes. At this level, the Specialist brings expanded knowledge and experience in project controls while continuing to acquire higher-level skills. They work with moderate guidance, solve a range of straightforward problems using established procedures, and are developing a broader understanding of company processes, systems, and customer requirements. This role is well suited to individuals who enjoy analytical work, organizing project information, and supporting PMs with consistent and structured controls processes.
Key responsibilities:
Prepare and update weekly, monthly, and ad‑hoc project reports for Project Managers and senior leadership.
Support the development and maintenance of project budgets and cost forecasts.
Track project costs against approved budgets and identify variances using standard procedures.
Assist Project Managers with change control, including documentation, tracking, and financial impact assessment.
Set up new projects in corporate systems, ensuring compliance with internal governance and approvals.
Support the preparation of cash flow projections and monitor spending trends.
Assist with development of work plans, resource plans, and basic schedule inputs (Excel‑based).
Coordinate project documentation, ensuring consistent filing and version control within corporate systems (e.g., SharePoint, Teams).
Provide administrative support to ensure project meetings, reviews, and reporting cycles run smoothly.
Ensure data accuracy across all project controls deliverables through routine checks and alignment with PMs.
Collaborate with Finance, Engineering, and other internal partners to collect project data and maintain transparency.
Contribute to continuous improvement of reporting templates, dashboards, and processes.
Requirements
Bachelor’s or Master’s degree in Civil Engineering, Controlling, Finance, Applied Mathematics, Business, or related field.
Several years of experience in project controls, cost control, project coordination, finance, or similar roles.
Experience in environments such as engineering, infrastructure, construction, or consulting is beneficial.
Strong Microsoft Excel skills (pivot tables, formulas, data analysis). Power BI is an asset.
Good level of English (B2 or higher); knowledge of Polish language is beneficial but not mandatory.
Experience with project management systems, cost tools, or ERP systems is a plus.
Solid understanding of project cost control, forecasting, and variance analysis
Strong analytical skills to interpret data and identify issues and solutions
Clear and effective communication with project managers and stakeholders
High attention to detail to ensure accuracy and consistency in documentation
Collaborative team player able to work with cross‑functional teams
Well‑organized, with the ability to handle multiple reports and documentation deadlines
Eager to learn and develop knowledge of project processes, tools, and the project lifecycle
