Sourcing & Proposal Coordinator
Role Summary
Archie Corporation is a small federal and SLED services contracting prime (SDVOSB, HUBZone, MBE/DBE, 8(a) pending) with an active government supply and product fulfillment business. This role focuses on identifying, pricing, and submitting competitive product-based responses to RFQs and RFPs sourced through government portals. Reporting directly to the Proposals/Sourcing lead, the coordinator ensures a steady, accurate pipeline of quotes from solicitation to submission.
Primary Focus: Sourcing & Quote Development (~70%)
Opportunity Monitoring: Track SAM.gov, GSA, and other portals daily for relevant RFQs/RFPs matching Archie's product categories.
Solicitation Review: Read and interpret RFQ/RFP requirements, including item specifications, quantities, delivery terms, and submission deadlines.
Distributor Sourcing: Source pricing and availability from distribution partners and identify substitute or equivalent products when specified items are unavailable.
Pricing & Markup: Apply Archie's standard markup tiers to build compliant, competitive quotes.
Pipeline Maintenance: Log and track all active solicitations, sourcing details, and submission status in Airtable, ensuring records stay current and linked to the relevant opportunity.
Follow-up: Monitor award notifications and follow up on submitted quotes as needed.
Secondary Focus: Proposal Support (~30%)
Document Compilation: Assemble final submission packages (quotes, certifications, compliance documents) in Adobe Acrobat.
Data Collection: Gather past performance references and capability statements to support bids.
Process Adherence: Operate within Archie's existing bid-process SOPs, templates, and the Archie Quick Guide.
Candidate Profile
Strong attention to detail, especially with pricing, quantities, and deadlines.
Comfortable navigating multiple distributor platforms and comparing pricing/availability quickly.
Organized and capable of managing several active solicitations simultaneously.
Detail-oriented with CRMs/databases (Airtable experience is a plus).
Self-directed and research-minded.
Familiarity with the federal/DoD procurement environment is a plus.
No prior federal contracting experience is required; we will provide training on our SOPs.
