Position Summary
Provide ongoing administrative support of clinical education for students and clinical sites in collaboration with the clinical and academic leadership, as well as faculty to ensure quality and continuity in the achievement of program outcomes.
Key Responsibilities
• Provide ongoing administrative support to clinical leadership in relation to clinical affiliates and clinical needs.
• Serve as the initial point of contact for students regarding clinical education inquiries, facilitating timely communication and resolution between students and campus clinical leadership.
• Ensure the proper collection, maintenance, and organization of required clinical documents as required by clinical partners and organizational policies and guidelines.
• Tracks and monitors clinical site-specific student and faculty requirements while maintaining student and faculty confidentiality.
• Based on student registration rosters, organize and distribute accurate student clinical assignment rosters to clinical partners, identifying assigned students by facility, unit, and rotation dates, using placement applications or standardized spreadsheets in alignment with clinical partner expectations.
• Adhere to and ensure clinical affiliate deadlines are met for required clinical documentation.
• Monitor and track clinical attendance, and with oversight from clinical leadership, schedule students for appropriate clinical make-up opportunities. Once clinical make-up is completed, assist clinical faculty with appropriate documentation.
• Assist with planning new student orientation and Vitals to Success to provide students with information regarding clinical requirements.
• Maintain an electronic database for the coordination and assignment of faculty teaching assignments as it pertains to faculty teaching qualifications, consistent with curriculum and human resource requirements.
• Monitor and track faculty attendance and support with meeting minutes at various meetings and educational offerings.
• Escalate student to concerns to clinical leadership team as appropriate.
• Other duties as assigned.
Qualifications
• Bachelor's degree (preferred) with knowledge that includes an understanding of the educational objectives and experience of student nurses, an understanding of the clinical practice of nursing, knowledge of the diverse organizational environments in which nursing practice, and knowledge of the types of clinical sites needed to meet course content and objectives.
• At least two (2) years of administrative support experience.
• Strong customer service skills. • Excellent written and oral communication skills.
• Experience with Microsoft Office Products including Excel, PowerPoint, Outlook, and Word.
Degree of Supervision: Minimal.
Physical & Mental Demands
This position is primarily sedentary and performed in a standard office environment. The following physical and mental demands are representative of those that must be met to successfully perform the essential functions of this role:
• Ability to remain in a stationary position for extended periods of time while operating a computer and other office equipment.
• Occasionally moves about the office to access files, equipment, or attend meetings.
• Frequently communicates verbally and in writing with internal and external stakeholders; must be able to exchange accurate information in these situations.
• Must be able to read and review documents, data, and on-screen content with close visual attention and attention to detail.
• Ability to manage multiple priorities, meet deadlines, and work effectively under moderate pressure.
