Job Description
This is a fantastic opportunity for a highly organised, trustworthy and diligent assistant to support a leading Producer at a busy Film and TV production company. This role offers a unique opportunity to work closely with the Producer on a diverse slate of film and television projects, while also providing support across various administrative and creative tasks.
The Executive Assistant will serve as a trusted problem-solver, and strategic partner, managing complex professional and personal operations with discretion, precision, and poise.
Key Responsibilities
Personal & Lifestyle Support
- Oversee personal matters including household coordination, events, and private scheduling
- Liaise with family offices, security teams, household staff, and external vendors
- Manage sensitive information with absolute discretion and professionalism
- Manage extensive private art and car collection, as well as insurance
- Coordinate domestic and international travel, both personal and business, including itineraries, visas, private aviation, and on.
- Extensive knowledge of the local area (restaurants, entertainment, etc.) a plus.
Executive & Business Support
- Co-manage an extremely busy and fluid calendar across film, television, business, and personal commitments alongside existing production assistant
- Work alongside current Producer’s Assistant and support in diary matters and wherever possible – and covering Producer’s Assistant’s responsibilities when absent.
Office & Operations Management
- Handle expense reporting, invoicing, and coordination with business management and accounting teams
- Maintain filing systems, contracts, and production documentation
- Anticipate needs and proactively resolve issues before they arise
Qualifications
Qualifications & Experience
- 3 years of experience as an Executive Assistant supporting senior executives, principals, or high-profile individuals (entertainment experience strongly preferred)
- Demonstrated interest in film and television; familiarity with production, development, and industry workflows is a plus
- Exceptional organizational and multitasking skills with the ability to manage shifting priorities
- Outstanding communication and interpersonal skills
- High emotional intelligence, sound judgment, and the ability to remain calm under pressure
- Proficiency with Google Workspace, Microsoft Office, Microsoft Co-Pilot and Notebook LM, - that’s a plus - scheduling platforms
- Passion for storytelling, film, television and theatre, with curiosity about the creative process
- Flexible and adaptable, with availability for occasional evenings, weekends, and travel
