Job Summary
As an Executive Administrative Specialist at KBR, you will provide comprehensive administrative and secretarial support to a Vice President or President. Your role will involve general clerical duties, receptionist tasks, and project-based work, tailored to specific functions or departments such as Procurement or Engineering. Under general direction, you will complete broadly defined tasks that support business operations, including data entry, correspondence, and reporting. Effective communication skills are essential, as you will be a key point of contact within the organization.
Roles and Responsibilities
- Provide administrative support to up to 3 Vice President or President, including managing schedules, arranging meetings, and handling correspondence.
- Serve as the point of contact for coordinating with SharePoint Owners as required.
- Act as a P-Card Administrator, Timesheet Administrator, and Expense Report Administrator.
- Assist Support Services during their visits to Houston, including arranging logistics and accommodations.
- Manage office tasks such as reserving conference rooms, handling shipping, and validating parking.
- Oversee supplies, business cards, swag, invoice payments, and registrations for expos and memberships.
- Administer SAME (Society of American Military Engineers) tasks, including managing the KBR US roster, membership renewals, and job postings.
- Serve as the point of contact for the storage office used by various departments including IT, PSM, BD, HR, and HSE.
- Coordinate floor space and billing for assigned area and assist with security and government compliance.
- Handle mail and package deliveries and coordinate floor moves.
- Act as Badge Administrator/Approver for your assigned area and Conference Room Administrator for KBR Government Solutions, U.S. (GSUS).
- Manage maintenance and repair requests for assigned areas.
- Perform other duties as assigned.
Basic Qualifications (Required Education, Experience, Skills, and Certifications)
- Requires a High school diploma or equivalent and at least 8 years of experience in an administrative or secretarial role.
- Requires proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Must have strong organizational and multitasking skills.
- Requires excellent oral and written communication skills.
Preferred Qualifications (Preferred Education, Experience, Skills, and Certifications)
- Experience supporting senior executives in a corporate environment.
- Familiarity with SharePoint and other collaboration tools.
- Knowledge of procurement or engineering administrative processes.
