HOW YOU’LL MAKE AN IMPACT:
The Project Coordinator manages key IT and marketing projects, overseeing schedules, risks, and stakeholder coordination to ensure timely delivery. They support VPs and senior leadership with contract management, project tracking, and presentations. By streamlining workflows and driving collaboration across departments, the Project Coordinator enhances communication and helps maintain alignment with business goals, all while managing multiple priorities in a fast-paced environment.
Overall project scope, schedule, and issue/risk management (50%)
• Maintaining and monitoring promotional cadence plans and project schedules
• Develop and maintain strong relationships through all stages of project scope, development, execution, and maintenance
• Ensuring projects adhere to PMO frameworks and all documentation is maintained appropriately for each project
• Lead status and stakeholder meetings including distribution of follow-up and action items to the team
• Ensuring project deadlines are met
• Assess and communicate project risks and issues and provide solutions where applicable
• Understanding and leading formal escalation and review processes
• Creating and reviewing of PMO related reports
• Act as knowledge manager for the IT team, managing databases and/or portals designed to help facilitate communications and coordination of various activities
• Providing project management support to project managers and business leaders when requested
• Leading efforts around workload tracking, workload consolidation, and other needs across the IT + Marketing Leadership team and PMO.
• Assist with various office functions that include, managing calendars, scheduling activities, and communicating with stakeholders
• Liaison with other departments as requested
Executive and Department Support (50%)
• Provide high-level support to VPs and senior leadership by managing key operational tasks such as contract management, application lists, and project tracking.
• Prepare, edit, and enhance presentations, including PowerPoint decks for executive meetings, all-hands meetings, and leadership updates.
• Coordinate and manage logistics for departmental events, team meetings, and strategic initiatives, ensuring alignment with business goals.
• Lead or assist in special projects, handling cross-functional coordination, documentation, and process improvement efforts.
• Maintain a comprehensive overview of department needs, proactively supporting leadership in driving initiatives and ensuring smooth operations.

Must have:
• Exemplary communication skills (written, presentation, meeting management, documentation.
• Strong ability to develop and maintain relationships at all levels of the company
• Strong project delivery skills – accurate project planning, delivering to milestone dates, managing resources effectively, communicating status effectively, managing risks, and juggling multiple activities at once to accomplish goals.• Able to manage multiple tasks at once, recognizing interdependencies & prioritizing appropriately
• Handles confidential information responsibly
• Minimum cumulative GPA of 3.0(3.2 GPA or higher strongly preferred)
• Required to have graduated within 6 months of class start date
• Must be able to start in the role full time by January 2025
Preferred skills and experience:
• 1+ year(s) of professional experience
• Exceptional verbal, written, and presentation skills
• Ability to work effectively both independently and as part of a team
• Experience using computers for a variety of tasks
• Competency in Microsoft applications including Word, Excel, Project, and Outlook
• Ability to work on tight deadlines
• Experience collaborating with others in IT management roles to deliver shared results. Ability to achieve results without necessarily having a reporting relationship
• Proven track record of partnering with business management in the delivery of IT-enabled business solutions
• Quick learner. Ability and willingness to accept new and different ways of doing things and to accept coaching from manager and other leadership resources. Listen to the first mentality.
Physical Demands
• Work in a standard office setting and use standard office equipment while occasionally lifting and/or moving files weighing up to 10 pounds
